You’ll work closely with HR colleagues in New York, London, Madrid, Paris, and Kuala Lumpur, supporting employees and HR Business Partners through timely, accurate, and high-quality HR service delivery. Role Overview The HR Coordinator plays a critical role within IPC’s People Operations operating model, acting as the primary Tier 1 owner for employee queries, transactions and service requests. This role is responsible for delivering high-quality HR operations through end-to-end ownership, operational governance, process compliance and service excellence. The HR Coordinator ensures requests are managed through approved intake channels, resolved within agreed service levels and escalated appropriately to Tier 2 subject matter experts when required. This role contributes to the ongoing transformation of People Operations through process standardization, documentation, automation, continuous improvement, and the implementation of scalable global operating practice Key Responsibilities • Act as the first point of contact for employee HR queries, providing timely, accurate guidance and resolution., • Manage Tier 1 tickets through approved intake channels, ensuring SLA compliance, complete ownership, and appropriate escalation to HR Business Partners or Subject Matter Experts., • Maintain accurate case documentation, audit trails, and stakeholder visibility from intake through closure., • Track recurring employee queries and identify opportunities for process improvement and enhanced service delivery. HR Lifecycle Management • Coordinate onboarding activities including offer letters, contracts, background checks, documentation, and first-day logistics., • Manage offboarding processes, including departures, system access changes, documentation, and exit activities., • Support employee lifecycle transactions including promotions, transfers, compensation changes, and organizational updates while ensuring HRIS and payroll accuracy., • Administer leave and parental leave processes, ensuring timely communication, documentation, and compliance. Governance, Compliance & Controls • Execute People Operations processes in compliance with company policies, audit requirements, data privacy standards, governance controls, and local employment legislation., • Maintain accurate employee records and audit-ready documentation across all lifecycle activities., • Identify and escalated operational risks, control gaps, and process deficiencies., • Support internal and external audits through accurate reporting and documentation management. Data, Systems & Process Integrity • Maintain employee data within Oracle Cloud HCM, ensuring accuracy, integrity, and compliance., • Monitor data quality, perform audits and validation checks, and proactively resolve discrepancies., • Support HR systems enhancements, automation initiatives, and development of the Oracle HR Service Desk., • Partner with cross-functional teams to improve process efficiency, reporting integrity, and operational consistency. Process Ownership, Governance & Continuous Improvement • Support the implementation of IPC's People Operations SCALE framework through standardization, governance, documentation, automation, self-service capabilities, and continuous improvement initiatives., • Create and maintain SOPs, process maps, templates, knowledge articles, and process documentation., • Own assigned processes and identify opportunities to simplify, automate, and improve service delivery globally., • Participate in cross-regional and cross-functional projects involving HR, Payroll, Legal, IT, Procurement, Finance, and People Analytics. Employee Experience & Communication • Deliver proactive, transparent communication to employees, managers, and stakeholders., • Support onboarding programs, employee engagement initiatives, and company events., • Promote a positive employee experience through responsiveness, professionalism, and service excellence. How You Will Make an Impact • Deliver consistent, high-quality HR support that builds employee trust and strengthens HR's credibility., • Take end-to-end ownership of employee cases, ensuring timely resolution, effective communication, and operational excellence., • Drive process standardization, scalability, and continuous improvement across regions., • Build strong partnerships with employees, HR Business Partners, IT, Payroll, Legal, and other stakeholders., • Ensure compliance with governance standards, controls, and regulatory requirements., • Identify opportunities to simplify, automate, centralize, and improve People Operations processes globally. Essential Skills and Experience • Bachelor's degree in Human Resources, Business Administration, or a related field., • 1–2 years of experience in HR Operations, HR Coordination, People Operations, Shared Services, or a similar HR support environment., • Strong understanding of employee lifecycle processes, including onboarding, offboarding, employee changes, leave administration, HR systems, and payroll coordination., • Demonstrated ability to manage multiple priorities in a fast-paced, matrixed environment with minimal supervision., • Strong written and verbal communication skills and a proactive, service-oriented approach., • High attention to detail, data accuracy, confidentiality, integrity, and professionalism., • Strong ownership mindset with the ability to manage issues through to resolution., • Experience working with HR systems and defined operating procedures; Oracle Cloud HCM experience preferred. Desired Skills and Experience • Experience working within tiered HR support models, Shared Services, People Operations, or service delivery environments., • Familiarity with case management tools, Service Level Agreements (SLAs), operational metrics, and governance frameworks., • Strong organizational, project coordination, and stakeholder management skills., • Experience or interest in HR process improvement, automation, systems optimization, and continuous improvement initiatives., • Experience creating SOPs, process documentation, knowledge articles, and self-service resources., • Experience working within multinational organizations, ideally in technology, fintech, or financial services environments., • Agile, collaborative, and employee-focused mindset with a passion for improving how work gets done.
