The successful candidate will join the Finance, HR & Administration team in Barcelona, Spain. This role provides critical support across invoicing, vendor management, financial reporting, HR administration, and operational coordination. As a Finance, HR & Administration Executive, you will ensure accurate processing of financial transactions, maintain compliant financial and HR documentation, coordinate with external partners such as tax consultants, banks, and IATA/BSP authorities, and support internal teams with timely reporting and administrative assistance. This role is essential in maintaining smooth financial and administrative operations, ensuring adherence to regulatory and internal policy requirements, and supporting cross-functional teams including Finance, HR, Sales, Marketing, and Management through reliable documentation, efficient processes, and responsive support. Accurately check and process invoices, credit notes, and payments using SAP HANA, Ariba, Concur, and other platforms, ensuring timely completion and compliance with internal controls. Maintain vendor master data, coordinate RFQs, and manage procurement documentation to support effective vendor relationships and audit requirements. Perform daily bank reconciliations, monitor cash flow, reconcile credit card statements, and ensure compliance with ASW Capping requirements. Coordinate VAT submissions, IATA/BSP/CASS reports, and other statutory and regulatory filings in collaboration with external consultants, ensuring full compliance with local regulations. Provide HR administrative support including employee onboarding and offboarding documentation, maintenance of personnel records, and coordination of employment documentation in compliance with local requirements. Support payroll administration by liaising with external payroll providers and ensuring timely submission of accurate HR and payroll data. Assist with leave administration, employee data updates, and general HR reporting. Provide general office and administrative support, including document management, report distribution, translation coordination, meeting logistics, and ad-hoc support for management. Act as a key point of contact for internal teams, vendors, banks, and external partners to support accurate reporting, efficient operations, and timely issue resolution. Contribute to process improvements across finance, HR, and administration to enhance efficiency and compliance. Legal right to work and live in Barcelona, Spain. Bachelor’s degree in any field. Fluent in English and Spanish (written and spoken). Minimum 2 years of experience in finance administration, HR administration, accounts payable/receivable, or a similar function. Hands-on experience with SAP or similar financial systems, invoice processing, vendor management, and reconciliations. Familiarity with VAT reporting, IATA/BSP procedures, payroll coordination, and compliance documentation is an advantage. Strong proficiency in Microsoft Excel and financial/administrative software tools. Clear communication skills for effective coordination with internal departments, vendors, banks, and external service providers. Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
