Job Description Overview: We are seeking a dependable and proactive Office & Operations Assistant to support day-to-day activities at our Allentown office. This is an on-site, entry-level position ideal for someone who is organized, detail-oriented, and ready to learn across multiple areas of office support. The role includes receptionist duties, administrative tasks, facilities and premises coordination, assisting with warehouse operations, and assisting our operations team as needed. You’ll play an important part in keeping our office/ building and warehouse running smoothly while collaborating with remote team members. Key Responsibilities: • Greet visitors and provide general assistance, • Answer and direct incoming phone calls, • Monitor and respond to office emails or messages, • Handle incoming and outgoing mail and deliveries, • Maintain a clean, organized, and welcoming front office space, • Assist with data entry, filing, and document organization (digital and physical), • Help track supplies and place office/warehouse supply orders, • Support scheduling of appointments, deliveries, and pickups, • Prepare and organize documents for internal use, • Run occasional local errands (post office, supply pickups, etc.), • Open and close the office for staff, visitors, or vendors, • Manage physical keys, fobs, and access logs, • Assist with basic office equipment needs (printers, restocking supplies, signage, etc.), • Coordinate light maintenance or cleaning visits, • Support safety and facility upkeep (trash, fire alarms, tidiness), • Monitor deliveries or pickups, • Communicate with helpers and vendors onsite, • Support inventory organization or basic supply handling, • Check on dumpsters and coordinate removal, • Assisting the HR/compliance department, • High school diploma or equivalent, • Microsoft Office (Word, Excel, PowerPoint, Outlook), • Comfortable using email and learning new systems, • Strong communication and time management skills, • Detail-oriented and able to work independently, • Ability to lift small packages and perform light physical tasks, • Bilingual (English/Spanish) strongly preferred, • Reliable transportation preferred (for mail pickup, errands, etc.)Company DescriptionAction Corporations is a fast-growing multi-unit business based in PA.
