Phone and Communication Management: Answer phone calls, respond to patient inquiries, and relay messages to medical staff promptly. Medical Records: Maintain accurate and confidential patient records, ensuring compliance with HIPAA regulations. Insurance Verification: Verify patient insurance coverage, obtain necessary authorizations, and ensure all insurance information is correct and current. Patient Arrival Tracking: Monitor and record the time patients arrive for their appointments to maintain accurate scheduling and wait time records. Doctor Schedule Notifications: Proactively notify patients if the doctor is running behind schedule, providing updates on expected wait times to ensure clear communication. Administrative Support: Perform clerical tasks such as filing, faxing, scanning, and managing correspondence. Billing Support: Assist with basic billing tasks, including preparing invoices and coordinating with billing departments. Office Coordination: Ensure the reception area is tidy, well-stocked with forms and supplies, and welcoming for patients. Collaboration: Work closely with medical staff to coordinate patient care and ensure efficient office operations. Qualifications Education: High school diploma or equivalent; additional certification in medical administration or office management is a plus. Experience: Previous experience in a medical office or customer service role preferred. Skills: Strong communication and interpersonal skills. Proficiency in EHR systems, scheduling software, and Microsoft Office. Ability to multitask and prioritize in a fast-paced environment. Knowledge of medical terminology and HIPAA regulations. Excellent organizational and time-management skills. Attributes: Compassionate, detail-oriented, professional, and able to handle sensitive patient information with discretion. Working Conditions Environment: Typically works in a medical office or clinic setting. Hours: Full-time with potential for an occational Saturday shift depending on the need.
