Job Description Impact XM is seeking a Director, Event Management (Healthcare) to lead the planning, execution, and operational excellence of healthcare and life sciences meetings, congresses, and events. This role combines deep meeting planning expertise, strong team leadership, and a high bar for compliance, delivery quality, and client satisfaction. As the senior leader of our healthcare event operations, you will manage a high-performing team responsible for delivering complex event programs—ranging from investigator meetings and advisory boards to congress activities, product launches, and large-scale conferences. You will champion operational rigor, elevate process and planning standards, and ensure that every program is executed flawlessly, creatively, and compliantly. Key Responsibilities Client & Program Management * Serve as a senior point of contact for healthcare accounts. * Support client relationship strategy, program planning, and ongoing communication. * Participate in RFP responses, proposals, pitches, and upsell opportunities. * Report on KPIs and SLAs, driving solutions to optimize performance and client outcomes. Meeting Planning & Operational Excellence * Lead operational strategy for healthcare meeting planning and event execution. * Ensure programs are delivered on-time, on-budget, and in accordance with compliance and SOP standards. * Oversee planning phases including timeline development, venue sourcing, registration, logistics, onsite operations, and reconciliation. * Standardize tools, templates, and processes to drive efficiency and global consistency. Team Leadership & Development * Lead, coach, and develop a high-performing team of meeting planners and event specialists. * Oversee resourcing, staffing models, team structure, hiring, onboarding, and training. * Conduct performance reviews and guide career development. * Foster a culture of accountability, collaboration, and continuous improvement. Budgeting & Financial Management * Approve program budgets and ensure profitability targets are met. * Oversee reconciliation, transparency reporting, and financial close-outs. * Monitor job logs and leverage finance partners for accurate reporting. Healthcare Compliance * Ensure full adherence to PhRMA, EFPIA, and other regional codes. * Educate teams on evolving compliance standards and best practices. * Manage hospitality guidelines, HCP spend limits, and documentation protocols across geographies. Tools, Systems & Workflow * Utilize event management platforms such as Cvent and PROJECT LAB 360 (or equivalents). * Oversee team usage of internal planning platforms for status tracking, resource planning, and timesheets (e.g., Clockify). * Drive efficiency through technology enablement and workflow optimization. Qualifications * 10+ years of meeting planning, event operations, or congress management experience within healthcare or life sciences. * 5+ years of leadership experience managing meeting planners and/or event managers. * Proven track record delivering compliant healthcare events. * Strong understanding of PhRMA, EFPIA, and anti-bribery/anti-corruption standards. * Excellent communication, financial management, and client-facing skills. * Experience with Cvent or similar event management tools.
