Job Description AASK Physical Therapy & Rehabilitation is a fast-growing, dual-location outpatient practice in South Plainfield and East Brunswick known for high-quality, compassionate, and evidence-based care. Position Summary We are seeking a high-performing Office Assistant / Front Desk Administrator who is detail-driven, dependable, and excellent at multitasking. This role is critical for maintaining smooth clinic operations, accurate insurance processing, and a welcoming experience for patients and families. The ideal candidate takes ownership, learns quickly, and consistently follows systems with minimal supervision. Core Responsibilities Front Desk & Patient Experience • Warmly greet patients and manage check-in/check-out using the EMR with precision., • Collect and post payments, copays, and issue receipts accurately., • Communicate clearly with patients regarding schedules, policies, and financial responsibilities., • Handle inbound calls, messages, emails, and appointment scheduling with professionalism. Insurance, Authorizations & Billing Support • Verify insurance benefits for all patients (medical & accident/PIP)., • Obtain authorizations, pre-certifications, and submit required clinical documents promptly., • Track upcoming or expiring authorizations and proactively secure new ones to prevent treatment gaps., • Review and process daily mail including insurance checks, EOBs, denials, and time-sensitive requests. Post payments., • Coordinate with the billing company to resolve denials, documentation discrepancies, or payment issues., • Assist with opening and closing duties; ensure waiting rooms and treatment areas are prepared for patients (in coordination with PT staff)., • Organize, file, and securely handle confidential patient information in full compliance with HIPAA. What We’re Looking For (Must-Have Competencies) • 1–3 years of experience in a medical office, physical therapy, chiropractic, or similar patient-facing healthcare setting., • Strong understanding of insurance processes including verifications, authorizations, referrals, denials, and especially PIP., • Highly organized and able to manage multiple tasks without losing accuracy., • Dependable,accountable, punctual, and consistent in following established systems and procedures., • Quick learner with strong problem-solving skills., • Professional, calm, and patient-focused, even during busy periods., • Full HIPAA compliance and respect for patient privacy., • Comfortable using EMR/EHR systems and office software (Microsoft Office, Google Workspace, typing, email)., • Excellent phone etiquette, written communication, and customer service skills., • Bilingual (Spanish) is highly preferred to support our diverse patient population.
