Job Description Purpose • Provide administrative and intake support to the agency, • Assist in scheduling meetings and maintaining consistent communication with referral sources, • Support daily office operations while helping convert outreach contacts into booked appointments Schedule • Monday through Friday, • 10:00 AM – 3:30 PM, • 30-minute unpaid lunch break Primary Responsibilities • Minimum 2 years of experience in sales, healthcare outreach, marketing, or a related field, • Make outbound calls to healthcare facilities using contact lists provided by the Field Outreach Representative, • Follow up within 24–72 hours after initial in-person visits, • Confirm and update contact information for key departments:, • Social work, • Case management, • Discharge planning, • Schedule and confirm meetings for the agency owner (phone, virtual, or in-person), • Send professional emails for introductions, confirmations, and follow-ups, • Answer incoming calls and respond or route messages appropriately, • Maintain and update CRM or Google Sheets with accurate notes, call logs, and appointment details, • Perform general clerical duties including:, • Filing client and staff documents, • Organizing digital records, • Data entry, • Assist with intake-related tasks and administrative support, • Conduct light research to verify facility contacts and information, • Coordinate mailing of marketing postcards through the United States Postal Service (USPS), • Monitor and respond to inbound inquiries (Google Business Profile, referrals, etc.) Required Skills • Strong administrative and organizational skills, • Professional phone and email communication, • Comfortable making outbound and follow-up calls, • Ability to handle gatekeepers and office staff professionally, • Proficiency in Google Sheets, Docs, and/or basic CRM systems, • Attention to detail and ability to multitask Deliverables / Performance Expectations • 20–40 outbound calls per day (quality-focused), • Daily follow-ups completed and documented, • 5–10 meetings scheduled per week, • Accurate and up-to-date CRM/records at all timesCompany DescriptionWe are a growing non-medical companion care agency dedicated to supporting seniors and individuals who need assistance with daily living.
