Accounts Receivable & Wholesale Coordinator Miista, based in the La Coruña area of Spain, is looking for an Accounts Receivable & Wholesale Coordinator with strong operational knowledge to support the continued expansion of our wholesale business. Role Overview This role sits at the intersection of finance and wholesale operations, with a primary focus on Accounts Receivable management. You will be responsible for ensuring timely and accurate invoicing, payment tracking, and credit control, while also supporting the wholesale team in order management, logistics coordination, and customer relations. Key Responsibilities Accounts Receivable (Core Focus) • Manage the full accounts receivable cycle, including invoicing, payment tracking, and reconciliation., • Monitor customer accounts to ensure timely payments and proactively follow up on outstanding balances., • Work closely with sales direction to resolve discrepancies, issue credit notes, and manage returns., • Maintain accurate financial records and ensure all transactions are properly recorded., • Support cash flow management by providing regular updates on receivables and payment forecasts. Wholesale Operations & Coordination • Enter all customer orders into internal systems within deadlines, ensuring negotiated terms are accurately reflected., • Send order confirmations after each sales campaign and communicate updates or changes to customers promptly., • Maintain and update customer profiles across internal systems and wholesale platforms., • Own and manage customer portals, ensuring orders, approvals, and logistics information are up to date., • Ensure all sales order details are accurate, including updates and deletion of withdrawn styles., • Prepare and send invoices, order confirmations, and cancellation updates to accounts. Logistics & Order Management • Liaise with the Sales Director and logistics team to process, track, and deliver orders efficiently., • Prepare export and shipping documentation (invoices, packing lists, certificates of origin, proformas)., • Coordinate stock returns with partners and support the issuance of credit notes., • Monitor deliveries and proactively communicate any delays or issues, proposing solutions when needed., • Coordinate the distribution of goods according to customer priorities and business needs., • Authorise and oversee reorder processes in collaboration with the warehouse team. Sales Support & Customer Relations • Support the Sales Director in managing key accounts and maintaining strong client relationships., • Lead the creation of selling materials and coordinate product samples for campaigns., • Hold regular communication with key accounts to ensure consistent follow-up and reporting., • Support weekly reporting on sell-through and wholesale performance metrics. Requirements • Previous experience in Accounts Receivable, Credit Control, or a similar finance-focused role., • Experience working with wholesale operations in fashion or a related industry is highly desirable., • Strong numerical and analytical skills with high attention to detail., • Proficiency in Excel and ERP/accounting systems., • Familiarity with wholesale platforms such as Shopify or NuOrderis a plus., • Excellent organisational and communication skills., • Ability to manage multiple priorities in a fast-paced environment., • Fluent in English; additional languages are a plus.
