The Ethical AI (EAI) Certification is building a practical, sector-specific certification for NGOs and humanitarian organizations to demonstrate responsible AI use through a clear, tiered pathway and credible public signaling. We’re looking for an operations-minded intern to coordinate the moving parts across standards development, stakeholder engagement, pilots, and launch activities. Role summary You will function as the central coordinator for the EAI effort—keeping timelines, people, documents, and decisions aligned. This is a high-ownership role with direct exposure to senior stakeholders and a fast-moving build-and-launch environment. What you’ll do (core responsibilities) • Program coordination (the “hub” function), • Maintain the master workplan, milestones, and weekly priorities across workstreams (standards, pilots, product/tooling, comms, governance)., • Run the weekly operating cadence: agendas, notes, action items, follow-ups, and decision logs., • Keep a simple “single source of truth” (tracker + folder structure) so nothing gets lost., • Stakeholder and governance coordination, • Schedule and coordinate meetings with board/technical stakeholders and partners; ensure materials are shared in advance and decisions are captured., • Track open questions, requested edits, and approvals; follow through until resolved (politely persistent)., • Standards and documentation support, • Organize feedback on the Core Essentials (Governance, Accountability, Data Rights, Human Oversight, Transparency) and help keep versions clean, dated, and attributable., • Maintain a structured issue log (what’s the concern, who raised it, status, proposed resolution, owner)., • Pilot / cohort operations support, • Support onboarding and coordination for pilot organizations as they test the certification pathway and evidence collection approach., • Track what each org needs, what they’ve submitted, where they’re stuck, and what follow-up is required., • Launch execution support, • Help coordinate launch assets and logistics (briefing packets, outreach lists, webinar logistics, post-event follow-up)., • Draft and/or edit operational communications (updates, reminders, stakeholder notes) for clarity and speed. What success looks like • Meetings run on time, with clear agendas and crisp follow-ups., • Stakeholders know what they owe, by when, and why it matters., • Documents are versioned, searchable, and decision history is recoverable., • The team spends time doing the work—not looking for the work. Skills we’re looking for Required • Strong project coordination habits: checklists, trackers, deadlines, follow-through., • Clear writing (especially meeting notes and action items)., • Comfort working with distributed teams (time zones, busy calendars)., • Interest in responsible/ethical AI, AI governance, or international development/humanitarian work., • Familiarity with lightweight PM tools (Notion, Asana/Trello, Airtable/Sheets) and structured document management.
