Core Responsibilities:

  1. Greet Visitors
    Welcome clients, guests in a friendly and professional manner
    Direct them to the correct department or contact the appropriate staff member
  2. Answer & Transfer Calls
    Use a phone system to answer incoming calls, take messages, or transfer calls to the right department or person
    Maintain polite and professional communication at all times
  3. Administrative Tasks
    Organize, file, copy, and scan documents
    Handle incoming and outgoing mail and packages (e.g., USPS, FedEx, UPS)
    Update contact lists, appointments, and meeting schedules
  4. Data Entry / Scheduling
    Schedule or confirm appointments
    Use office software (e.g., Microsoft Office, Google Workspace)
  5. Maintain Reception Area
    Ensure the waiting/reception area is clean and orderly
    Restock brochures, water, forms, and other materials
  6. Team Support
    Assist other administrative staff with basic tasks
    Provide backup support for clerical or customer service roles during busy times

Work Schedule:
Paid hourly
Flexible work hours, typically 15–30 hours per week—ideal for students or those seeking part-time income
May require shifts or rotations, especially in businesses offering extended hours
Common Requirements:
Fluent in English
Strong communication skills and a professional appearance
Familiarity with basic office software and phone systems
