Job Description Job Title: Administrative Assistant / Customer Service Coordinator Job Summary: First Class Electric is seeking a reliable, organized, and customer-focused Administrative Assistant to support daily office operations. Customer service, follow-ups, and schedule optimization are the core responsibilities of this role. When call volume is lighter, the position will also assist with outbound follow-ups, light sales support, and basic marketing and social media tasks. This role is ideal for someone who enjoys helping customers, staying organized, and contributing to the overall efficiency and growth of a busy service-based business. Key Responsibilities: Customer Service & Scheduling (Primary Focus) * Answer incoming phone calls professionally and assist customers with questions and service requests * Schedule, confirm, and reschedule appointments to optimize technician schedules and reduce downtime * Perform customer follow-ups before and after service visits * Communicate clearly with customers regarding arrival windows, updates, and next steps * Ensure a positive customer experience from first call to job completion Administrative Support * Create and maintain job stories/records for ongoing and completed projects * File and organize business documents (digital and physical) * Support office operations and management with general administrative tasks Sales & Outreach Support (As Needed) * Make outbound follow-up or cold calls when inbound call volume is low * Assist with customer outreach related to scheduling, services, or promotions * Support basic sales efforts using provided scripts and guidance Marketing & Online Presence Support (As Time Allows) * Assist with basic social media posting and content coordination * Respond to customer reviews (Google and other platforms) under direction * Help document completed jobs for internal records or marketing use Requirements: * Strong customer service and phone communication skills * Comfortable managing schedules and performing follow-ups * Comfortable making outbound calls when needed * Basic computer skills (email, scheduling software, document management) * Strong organizational and time-management skills * Attention to detail and ability to multitask * Reliable, professional, and positive attitude Preferred (Not Required): * Experience in customer service, office administration, or home services * Familiarity with scheduling systems or CRM software * Basic knowledge of social media or marketing support Company DescriptionFirst Class Electric is a trusted mostly residential and light commercial electrical service provider based in Central New Jersey.
