The rest of your hours will be focused on growing the membership by following up on leads, community and business networking and engagement, retention, client satisfaction and support, and staff training. Key Responsibilities Data Management • Maintain and update databases, spreadsheets and information management systems., • Monitor data quality and integrity, identifying and resolving inconsistencies or errors., • Perform data audits, validation and reconciliation activities., • Develop and maintain data standards, naming conventions, and organizational structures., • Generate routine reports and dashboards to support operational and management decision-making., • Coordinate data collection from multiple departments and ensure consistency across systems., • Support data migration, cleansing, and archival projects. Documentation Management • Maintain document control systems and repositories., • Create, organize, review, and distribute controlled documents, including policies, procedures, manuals, forms and records., • Ensure documentation is current, accurately version-controlled and compliant with organizational standards., • Coordinate document reviews, approvals and periodic updates with stakeholders., • Monitor document retention and disposal practices in accordance with company policies and regulatory requirements., • Develop filing structures and documentation standards to improve accessibility and efficiency. Compliance and Quality Assurance • Ensure adherence to data governance, records management, and document control policies., • Support internal and external audits by providing documentation and evidence as required., • Maintain confidentiality and security of sensitive business information., • Assist in implementing process improvements related to data management and documentation practices., • Track compliance metrics and prepare reports for leadership. Collaboration and Support • Serve as a point of contact for data and documentation-related inquiries., • Train employees on documentation standards, data entry requirements and document management systems., • Collaborate with departments to identify opportunities for process improvement and automation., • Support project teams by organizing project documentation and maintaining records throughout project lifecycles. Required Qualifications • Associate's or Bachelor's degree in Business Administration, Information Management, Data Management, Library Science, Records Management, or a related field., • 2-5 years of experience in data coordination, document control, records management, or administrative operations., • Strong proficiency with Microsoft Office Suite, particularly Excel, Word, and SharePoint., • Experience working with databases, document management systems, or enterprise information systems., • Excellent organizational skills with strong attention to detail., • Strong written and verbal communication skills., • Ability to handle confidential and sensitive information with discretion. Preferred Qualifications • Experience with data governance, quality management, or records management programs., • Knowledge of document control processes in regulated environments., • Familiarity with SharePoint, Power BI, ERP systems, CRM platforms, or document management software., • Certification in records management, document control, quality systems, or information governance is a plus.
