We're currently seeking a Administrative Assistant to support operations across our Great South Bay (West Babylon, NY) and Gateway Plaza (Patchogue, NY) locations. Administrative Assistant Responsibilities • Front Desk Schedule Posting: Prepare and post the front desk schedule in Teams at least two weeks in advance to ensure visibility and planning., • ADP Hours Entry: Add scheduled front desk hours to ADP accurately and on time to maintain up-to-date payroll records., • Time-Off Request Management: Receive and approve time off requests, coordinating with the team to ensure adequate coverage., • Vacation Schedule Maintenance: Keep the vacation schedule current to prevent overlapping time off and ensure proper staffing levels., • Front Desk Check-Ins: Schedule check-ins for front desk team members with Practice Administrator and team members., • Front Desk Reviews: Schedule performance reviews for front desk team members with Practice Administrator and team member., • Phone Interviews: Conduct initial phone interviews with candidates as appropriate to support the hiring process., • Interview Scheduling: Schedule candidate interviews and ensure all details are confirmed with both parties., • Call-Out Coverage: Assist in finding appropriate front desk coverage when team members call out to maintain daily operations., • Training Session Coordination: Schedule front desk training sessions with Practice Administrator; manage logistics., • Training Documentation: Track completed training sessions with Practice Administrator and submit post-training paperwork to HR., • Marketing Lead Coverage: Prepare weekly desk coverage schedules for marketing leads, including overnight and weekend TL coverage., • Unscheduled Treatment List Distribution: Prepare and forward the weekly unscheduled treatment list to all doctors., • Doctor Huddle Reviews: Complete huddle reviews for doctors two days per week to support preparedness and patient care., • Enhanced Patient Communication: Prioritize phone calls over texts to create a more personalized patient experience. When texting, first provide the available date, and once the patient responds, follow up with specific appointment times or block the offered time to streamline scheduling. Always ensure timely follow-ups for a seamless experience., • Lead Follow-Up: On your assigned day to call overnight leads in the AM, and ensure timely outreach to all leads by 9 AM. During business hours when not with a patient, follow up on leads promptly to maintain patient interest and engagement., • Patient Relationship Management: Honor and nurture patient relationships, ensuring all interactions are respectful and supportive., • Break Protocol: Work with team to ensure they take breaks at times that best serve the practice, adhering strictly to the allotted break time, and that they notify other team members when leaving for breaks., • Chronological Special Committee: Confirm all Patient Coordinators are running doctor chronological and confirm they are accurate. Assist in all doctors who do not have a PC., • Patient Coordinator Day Sheet Collection and Review: Collect all Patient Coordinator Day Sheets and review; responding with any questions, concerns and teachable opportunities., • Leadership TAP Structure and Training: Assist in mentoring all future leadership employees by training and mentoring sessions.Administrative Assistant Requirements, • An associates degree and previous administrative experience preferred, • Strong PC/computer skills, especially Excel and typing, • Extensive knowledge of Microsoft Teams, • Excellent attention to detail and follow-through, • Reliable, proactive, and committed to providing great service, • Team-focused and eager to learn and grow Collaborative Practice Environment: Enjoy an environment created to foster and motivate all to learn the basics of our services. Ability to multitask in a fast-paced environment. Open to learn all about our practice to ensure success in the role and help potential patients with dental care.
