SUMMARY The Brooklyn/Staten Island Sports League Coordinator will be the main person in charge on game-days at the game location. They are responsible for the overall coordination of all Brooklyn/Staten Island based New York Edge seasonal sports leagues (occurring on Saturdays) & tournaments (days vary), both in-person & virtually. They will provide ongoing support to all NYE sites within this borough. Support will be provided through both in-person & virtual site visits. The Brooklyn/Staten Island Sports League Coordinator is responsible for managing a cohort of sports league assistants on game days. This role will also be responsible for assisting in training staff for all leagues, as well as assisting with Sports & Wellness Department special events. This is a hybrid position. This position will work out of the NYE HQ in Woodside, NY as well as various Brooklyn/Staten Island based locations where leagues are located. Essential Job Functions: * Coordinate data gathered from the league registration process for all leagues & tournaments among NYE sites. * Assist in creating marketing materials related to leagues & tournaments. * Aid in securing permits for any/all event locations. * Use sports management software to coordinate, create & consistently update all league & tournament schedules, including but not limited to weekly standings. * Coordinate transportation for all participating sites, through creating weekly bus schedules. * Establish & maintain clear communication with all key parties, including but not limited to subcontractors, vendors, volunteers, parents, students and all NYE staff. * Support the review, review & establishment of rules, guidelines & procedures for participation in events. * Assist in ongoing in-person/virtual professional development for all sports league & tournament related staff, including but not limited to rules, guidelines & procedures. * Help to develop & design materials and/or resources related to sports leagues & tournaments. * Directly manage, support & develop a team of staff including sports league borough assistants. * Promote a positive culture & maintain a safe environment for all participants & attendees. * Conduct equipment assessments as needed. * Transport sports league related equipment & supplies to game & event locations. This includes assisting in event set up and breakdown. * Coordinate the collection of attendance at all leagues & tournaments. * Ensure all key parties are following protocols & procedures during leagues & tournaments. * Be liaison between New York Edge After-School Program Directors, Program Managers, Sports Specialists and the Sports and Wellness Department. * Assist in other Sports & Wellness departmental events when needed or assigned. * Lead clinics for students in league/tournament based sports. * Other related duties as assigned by the Director of Sports & Wellness or Sports League Manager. PRIMARY RESPONSIBILITIES: • Complete new resident Intake arrival packets, exits logs, daily occupancy forms., • Utilizing the Department of Homeless Services (DHS) Client Assistance and Rehousing Enterprise Systems (CARES) to complete Intake Check-in, Discharge Conditional Intake, • Review, Nightly Attendance Roaster Incident reports., • Receive food deliveries and confirm items received/receipts for accuracy by signing and dating form., • Report all inconsistencies with food deliveries to appropriate Shift Supervisor and Director of Program Operations., • Distribute meals to residents and dispose of expired food items as outlined by DHS’ Food Distribution Guidelines., • Monitor logs to ensure clients are signing the Daily Attendance Roster when entering and exiting the facility., • Provide clients access to rooms and assist in the facilitation and completion of room transfers/swaps., • Collect trash in office and dispose trash in designated areas., • Distribute DHS notices (i.e., 4002 notices, appointment slips, mail, etc.) to residents., • Adhere to DHS housekeeping mandates by cleaning office space, microwave, refrigerator, and bathroom at the end of every shift; always maintain a clean and neat office space., • Bag and tag client personal belongings where needed and report room cleaning and repair needs to Shift Supervisor., • Collaborate with on-site Shift Supervisor to ensure a safe environment for all staff and clients., • Conduct hourly rounds of the facility to ensure all room doors are secured, clients’ personal belongings are secured., • Conduct safety checks of clients staying in facility due to illness, mobility issues, etc., • Ensure clients are responsive during safety checks., • Immediately alert medical staff and immediate supervisor of clients found in distress., • Must be able to rotate shift at the discretion of the DPO to meet the needs of the program., • Conduct Operation unit inspections during the new Intake process., • Maintain all logs (Attendance, ACS, emergency contacts, sign in/ out logbook) and submit logs on the 1st of every month to Director of Operations., • On the1st of every month create a dead file of all the logs to be submitted for storage., • Adhere to the dress code policy for uniformed personnel and maintain a clean, neat, and professional appearance at all times., • Review with Shift Supervisor all paperwork and logs completed during previous shift before the end of tour., • Physically check all unoccupied rooms to determine status of readiness, repairs and cleanings., • Ensure all clean and ready units have clean linens and towels. Alert maintenance team of items needed., • Complete and submit all paperwork (daily occupancy, exit logs, meal census, NSR, new intake, curfew violations, incidents etc.)., • Serve breakfast 8:00am to 10:00am, lunch 12:00pm to 2:00pm, and dinner 6:00pm to 8:00pm., • Finalize Night Signature Roster (NSR) in CARES., • Ensure new logs for the month are in place., • Receive and log incoming meals usually at 6:00am, • Deliver mail on the 8:00am to 4:00pm shift., • Clock in where appropriate using the time clock system sign-in via the onsite logbook., • Must be available for overtime when business needs are required., • Physically check all unoccupied units to determine status (ready, repairs needed, needs cleaning)., • Required to work additional shifts to ensure coverage when staff is out of the office for various reasons. MINIMUM QUALIFICATIONS: • High School Diploma or GED., • Must have and maintain a valid NYS security license., • Two years’ experience in Single Adult Shelters and/or Congregate Residential Services., • Experience working with families / homeless population., • Food Protection Certification and CPR/ First Aid required., • Must complete a satisfactory background investigation., • Excellent written and oral communication, and organizational skills., • Must have incredible initiative, the ability to work well under pressure, and the ability to work both independently and as part of a team to complete complex projects in a fast-paced environment., • Intermediate level of computer proficiency with proficiency in Word, Excel, and the ability to learn new technologies and databases.
