Job Description Brief Description The Warehouse Coordinator manages TWST’s warehouse operations, ensuring organized storage, accurate inventory tracking, and efficient logistics for production and event equipment and consumables. The role oversees receiving, fulfillment, and shipment of physical assets while maintaining compliance with security, loss prevention, and audit standards. The Warehouse Coordinator works closely with Event Services, Finance, and Operations to align resource availability with production schedules and organizational needs, and reports to the Director of Operations. Duties and Responsibilities Inventory & Warehouse Operations • Maintain accurate, up-to-date records of all warehouse and production assets in TWST’s inventory management system, ensuring all incoming, stored, and outbound assets are correctly logged, tracked, and reconciled., • Conduct regular inventory audits and cycle counts to identify discrepancies, initiate corrective actions, and maintain audit readiness., • Monitor consumable stock (e.g., RFID cards, printer media, and event materials) and coordinate replenishment with Procurement and Production teams., • Partner with Event Production teams on equipment recovery, maintenance, and scheduling to ensure operational readiness and timely resolution of reported issues., • Supervise TWST’s fleet, ensuring all vehicles are properly maintained, licensed, and operated in accordance with company and regulatory standards., • Oversee vehicle maintenance, inspections, and asset lifecycle activities, coordinating repairs, replacements, or disposals as needed., • Implement and administer fleet management systems and processes that enable seamless vehicle scheduling and utilization by Production teams., • Enforce compliance with fleet safety, licensing, and operational policies, collaborating with Production management to ensure drivers adhere to established standards while Production retains responsibility for day-to-day scheduling and performance., • Support procurement by monitoring stock levels, verifying pickups and deliveries, and maintaining accurate records within TWST’s procurement and inventory systems to ensure timely replenishment of consumables and replacement equipment., • Coordinate with vendors, Operations, and Finance to reconcile orders, resolve discrepancies, and maintain full traceability for purchased assets and materials., • Administer warehouse security and access control systems, enforce loss-prevention policies, and ensure audit readiness through accurate documentation and regular compliance reviews., • Administer and enforce the company’s warehouse safety and compliance program, including routine inspections, training coordination, and incident reporting., • Collaborate with Production management to ensure adherence to safety policies during warehouse and on-site activities. Education and Experience • 4-year degree or equivalent experience in a related field preferred., • 3–5 years of experience in warehouse, logistics, or fleet operations, including responsibility for safety or compliance participation; supervisory experience preferred., • Demonstrated proficiency with inventory and asset management systems, shipment documentation, and procurement or vendor coordination., • Familiarity and comprehension of OSHA workplace safety requirements and basic fleet safety standards; formal safety training or certification (e.g., OSHA 10/30) is required., • Valid driver’s license required; CDL or DOT certification preferred.
