Atrium is seeking on behalf of our client an Administrative Assistant (Trusts & Estates) based in Paramus, NJ. Position: Administrative Assistant (Trusts & Estates) Location: Paramus, NJ Employment Type: Full-time Compensation: $65-80K Position Overview The Administrative Assistant will provide comprehensive administrative support to the Trusts & Estates practice group, ensuring efficient organization and management of client files and documentation. This role involves close collaboration with attorneys and staff to prepare, maintain, and distribute critical legal documents while upholding confidentiality and accuracy. The ideal candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced, onsite environment. Must be legally authorized to work in the United States. Responsibilities • Assist with the preparation, organization, and maintenance of trust and estate files, including correspondence, emails, and supporting documentation., • Compile and assemble estate planning and trust administration document packages, ensuring accuracy, completeness, and proper formatting., • Prepare, print, organize, and distribute documents for clients, beneficiaries, and other parties., • Support attorneys with document preparation and organization for client meetings and consultations., • Process administrative requests, including expense and payment-related submissions., • Manage and organize documents within a document management system to ensure accurate recordkeeping and accessibility., • Assist with new client and matter intake, including preparing engagement materials and conducting required administrative procedures., • Maintain and safeguard original estate planning and trust-related documents and records., • Provide administrative support across the practice group and assist with additional projects as needed. Required Experience/Skills • Bachelor’s Degree., • 1–4 years of prior experience in a law firm setting., • Strong organizational skills with exceptional attention to detail., • Ability to manage multiple priorities in a fast-paced environment., • Proficiency in Microsoft Office Suite and document management systems., • Excellent written and verbal communication skills., • Comfortable with an onsite working environment. Preferred Experience/Skills • Experience supporting Trusts & Estates or related legal practice areas., • Familiarity with estate planning and trust administration processes., • Ability to handle confidential information with discretion., • Strong problem-solving and time management skills., • Demonstrated ability to work collaboratively within a team environment. Education Requirements • Bachelor’s Degree in Business Administration, Legal Studies, or a related field preferred., • Additional coursework or certification in legal administration is a plus.
