Job DescriptionCommercial Real Estate Portfolio Administrator – CoStar Real Estate Manager (Data Cleanup Specialist) We are seeking a highly detail-oriented and experienced Temporary Commercial Real Estate Portfolio Administrator to lead a focused data cleanup and integrity project within our CoStar Real Estate Manager system. This role is critical to ensure our commercial real estate portfolio data is accurate, complete, and fully compliant for reporting, analysis, and decision-making. The successful candidate will have deep knowledge of commercial real estate contracts and advanced proficiency in CoStar (or similar lease/property management platforms) and will be responsible for auditing, abstracting, digitizing, and organizing all property-level documentation and data. Key Responsibilities • Execute comprehensive data cleanup in CoStar Real Estate Manager, focusing on accuracy and completeness of all portfolio records., • Retrieve hard-copy files, scan, upload, and properly label all supporting documents (leases, amendments, correspondence, exhibits, deeds, etc.) into the correct property files within CoStar., • Audit and abstract key lease and property information, including square footages, acreage, lease commencement/expiration dates, renewal options, termination clauses, monetary obligations (rent, CAM, escalations, incentives), and all other critical terms., • Verify existing data entries against source documents, identify discrepancies, and make precise corrections to ensure accurate portfolio-level reporting., • Document all work performed and provide regular status updates on project progress.Required Qualifications, • Minimum 3+ years of hands-on experience in commercial real estate lease administration, portfolio data management, or property management systems., • Advanced working knowledge of CoStar Real Estate Manager (or comparable platforms such as Yardi Voyager, MRI, AppFolio, or RealPage) – must be able to demonstrate proficiency in document upload/labeling, lease abstraction modules, and data auditing workflows., • Strong understanding of commercial real estate contracts, including retail, office, and warehouse/flex/industrial., • Proven ability to accurately abstract and interpret complex lease clauses related to rent, operating expenses, square footage calculations, acreage, expansion/contraction rights, and monetary obligations., • Excellent organizational skills with meticulous attention to detail and a proven track record of maintaining 100% data accuracy in high-volume environments., • Proficiency with document scanning, OCR processes, and digital file management., • Ability to work independently, manage priorities, and meet aggressive project deadlines., • Strong written and verbal communication skills.Preferred Qualifications, • Prior experience supporting large-scale commercial real estate portfolio cleanups or system migrations., • Familiarity with CoStar’s reporting and analytics tools.
