POSITION OVERVIEW We are looking for a proactive and highly organized legal assistant to support the Europe Region legal department. This role is for a motivated candidate who enjoys international business and has previous experience as legal administrative. KEY RESPONSIBILITIES • Maintain robust corporate housekeeping by updating legal databases and keeping organizational charts and internal registers current., • Administrative management of contracts / documents of any kind including signature process, internal approval workflow, scanning, coordination, and archive., • Manage the department’s treasury processes for invoices and payments, including payment tracking and setting up supplier master files., • Maintain up-to-date internal trackers and documentation for audit and finance purposes., • Support Legal Operations by improving processes and configuring workflows and templates in Group systems., • Assist with dashboards, KPIs, and internal and external audits., • Manage and coordinate notary appointments for powers of attorney and other corporate changes; handle apostille and legalization of legal documents for cross-border use., • Prepare and submit commercial registry documentation and mandatory filings and reports., • Own and maintain the internal document and reporting management system., • Support Legal team members and liaise with external counsel., • Coordinate meetings and document execution; maintain highly organized, up-to-date digital files, SharePoint sites, and systems. KEY QUALIFICATIONS • University degree; at least five years’ paralegal experience in a law firm, preferably international., • Full professional proficiency in English (written and spoken)., • Exceptional document management; strong organizational and time‑management skills; meticulous attention to detail; proven ability to manage multiple priorities and deadlines., • High discretion in handling confidential matters; experience working cross‑functionally and with transversal teams; eager to learn and to design and implement process improvements for greater efficiency., • Experience across the contract lifecycle and with CLM/management tools and legal tech (e.g., CLM platforms, e‑signature solutions, and internal systems)., • Strong team player with a proactive, can‑do approach; able to work independently; comfortable in fast‑paced international environments., • Exposure to international legal work across multiple jurisdictions; opportunity to learn from a highly experienced legal team.
