Job Purpose:\nThe C&I Administrator is responsible for supporting the management, tracking, documentation, and control of instrumentation and calibration-related activities within a regulated environment. The role ensures accuracy, compliance, and effective coordination of all associated technical and administrative processes, particularly in a GxP-controlled environment.\n\nKey Responsibilities:\n\nPossess a basic understanding of instrumentation principles and measurement units such as bar, volt, mA, Hz, psi, etc.\nUnderstand fundamental instrumentation concepts including input/output signals, calibration ranges, tolerances, and rejection/error criteria.\nDemonstrate advanced proficiency in Microsoft Office applications, particularly Excel (spreadsheets), for data management, reporting, and tracking purposes.\nManage and maintain multiple databases and documentation systems with a high level of accuracy and organization.\nEnsure full control and compliance of all GxP documentation processes, including:\nDocument issuance\nReview and tracking\nFiling and archiving\nLifecycle management of controlled documents\nMaintain and update databases related to calibration activities on a daily basis and ensure data integrity.\nLiaise effectively with internal departments, subcontractors, and third-party calibration service providers to coordinate activities and ensure timely execution of tasks\nTrack and monitor daily operational data and ensure all records are updated and accurate.\nPrepare and submit daily and weekly reports to the line manager in a timely and structured manner.\nMaintain competence and ensure the accuracy and completeness of all forms and records generated or handled within the role.\nShare knowledge and provide support to team members and cross-functional departments to improve overall operational efficiency.\nMaintain and oversee the Computerized Maintenance Management System (CMMS), ensuring all relevant reports and records are up to date and available for review.\n \nPerson Specification:\n\nPrevious experience in an administrative, coordination, or support role within a technical, engineering, or maintenance environment\nExposure to instrumentation, calibration, or maintenance processes, ideally within regulated industries such as pharmaceuticals, life sciences, manufacturing, or utilities\nExperience working within GxP, GMP, or other regulated quality environments, with a strong understanding of documentation compliance and audit readiness\nDemonstrated experience managing controlled documents, records, or quality systems, including document lifecycle and version control\nProven ability to work with and maintain databases, tracking systems, or CMMS platforms\nStrong data management experience, with a high level of proficiency in Microsoft Excel (e.g., data analysis, reporting, tracking logs)\nExperience coordinating with cross-functional teams, vendors, or third-party service providers to support operational activities\nFamiliarity with calibration schedules, asset tracking, or maintenance planning activities would be advantageous\nHigh level of attention to detail with a track record of maintaining accurate, audit-ready records and reports \nWhy CBRE\nWhen you join CBRE, you become part of the global leader in commercial real estate services and investment that helps businesses and people thrive.
