The successful candidate will ensure that the office runs efficiently while providing administrative support to senior management and the company’s HR and finance functions. Key responsibilities • Organising internal and external meetings and maintaining company diaries;, • Managing office databases, administrative records and filing systems;, • Booking business travel, transport and accommodation;, • Organising company events, meetings and conferences;, • Ordering stationery, IT equipment and other office supplies;, • Managing correspondence and responding to complaints and enquiries;, • Preparing business letters, presentations, reports and other documents;, • Supervising and monitoring the work of administrative employees;, • Processing invoices and maintaining accurate financial records;, • Monitoring office expenditure and assisting with the management of office budgets;, • Developing, implementing and maintaining office procedures and administrative systems;, • Organising induction programmes for new employees;, • Ensuring that workplace health and safety policies and records remain up to date;, • Attending meetings with senior management and implementing agreed actions;, • Maintaining personnel records and supporting general HR administration;, • Arranging interviews and assisting with the recruitment process; and, • Updating financial documents and liaising with the company’s accountant where required.
