Job Description SUMMARY Supervises administrative duties of watch officers for senior management. Performs duties of a highly confidential nature. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Essential Functions * Commit to Strategic’s Vision, Mission, Values, Key Success Approaches. * Identify and lead all watch officers working on designated shift. * Supervise all watch officers designated shift. * Assign tasks / and responsibilities to each Watch Officer. * Oversee and assist in staffing any open coverages or scheduled overtime delegated to scheduler. * Review tickets from prior shift to ensure all have been addressed or open tickets are assigned to Watch Officer of current shift and is addressed. * Review latest ‘Automated Daily Watch Officer Update’ from Win Team. * Remind watch officers that they must place guards that are calling out on hold and do an ‘Absence Tracker’ review, emphasizing repeat offenders will be written up. * Review Lighthouse and cross reference with Win Team schedule of whom is working. * Contact guards that are working who have not started a ‘Start Shift Report’ or not signed into Lighthouse. Provide descriptive directives to said guard. * Ensure a Watch Officer is assigned to be the dispatcher and signed into Team on the Run Dispatching and he/she is transmitting messages, wellness checks, and conducting at least 4 officer safety messages a shift. * Ensure Dashcam tracking system 24-hours, is on the supervisor’s screen and any alerts are promptly addressed. * Monitor Lighthouse map and live activity to ensure Guard Checkpoint Scans are being completed and delegated to an intel officer. * Monitor Lighthouse’s dashboard * Monitor Post Watch in Win Team and ensure notes entered in ‘Absence Tracker’ and diary. * Continuously monitor all staff and tasks assigned to ensure completion within designated timeframe. * Ensure outbound communication to account/client managers assigned to effected account. * Supervise the day-to-day security operations of all client sites and SSC staff in the field. * Ensure that all tasks listed on ‘Watch Commander Supervisor Shift Checklist’ are completed. Complete checklists are uploaded to Sharepoint. * Set up FEMA contracts. Reports / Administrative * Provide administrative support, to include call center, intelligence analysis, asset tracking, telephone coverage, copier projects; mail handling, supplies control and necessary communications internally and externally. Answers SSC SOC phone calls a welcoming voice stating the following: “Strategic Security Operations Center, Duty Agent Your Last Name Speaking, How may I help you?” * Type correspondence, to include word processing/typing of letters, task orders, technical debriefing reports, intelligence briefs, contracts, memos, forms, policies, and procedures (includes handling of confidential information). * Maintain secure files to protect confidential information. * Work independently and within a team on all projects. * Send and execute subcontractor agreements. HubSpot * Create tickets for all tasks (administrative, compliance, password, payroll, service issue, service request, training, audits) * Ensure tickets from prior shift to have all been addressed or open tickets are assigned to Watch Officer of current shift and are addressed. Win-Team / E-Hub * Assist (not replace) account managers with management with their schedules and handle calls for these managers from both internal and external sources. * Assist with Subcontractor agreements when necessary. * Monitor Win-Team post watch for all jobs, verify officers on site / dispatch replacement officer and alert account managers for follow up. * Assist (not replace) account managers with verification and response of e-Hub alerts regarding time and attendance. Account Managers are to issue 3 warnings for failure to adhere to time management guidelines and upon 3rd warning terminate the employee. * Forward last-minute ‘call-out’ requests via email to the account manager for handling. * Reset Paycoms. * When requested assist with collection of Government required paperwork such as 139s or clearance packages. * Assist in performing compliance audits of guards licensing in states SSC operates in. Ensure the most accurate information is in the system and we have a copy of the guard’s security license as well as any training. Ensure that guards are registered and tethered to SSC’s respective company license in each state. Quicksight * Monitor Lighthouse’s Quicksight Amazon Dashboard for activity Reports / Lighthouse * Review Lighthouse and cross reference with WinTeam schedule of whom is working. Contact guards that are working who have not started a ‘Start Shift Report’ or not signed into Lighthouse. Walk them through it. * Monitor Lighthouse Reports tour tracking of all clients to ensure officers are making security rounds. Perform random and infrequent quality control checks * Monitor Lighthouse incident reports of all clients to ensure officers are writing reports utilizing principles of Who, What, Why, Where, How. SOC Watch Officers are to review, edit and approve these incident reports making adjustments to offset liability of SSC and ensure all reasonable steps taken. Send email to account manager referencing the incident report number for him/her to follow up with to see details in the officer reports. Perform random and infrequent quality control checks to ensure the reports are being done and sent to clients in a timely manner. * Ops Checklist. Maintain a daily activity report. Perform daily quality control checks to ensure that matters in the reports are being handled properly. * Pass down log. Conduct a pass on log, every shift, to ensure that the relieving shift understands what was worked on prior and what remains open for follow up. Team on the Run * Perform random and infrequent quality control checks to ensure that Watch Officers are maintaining radio communications via two-way radio in a professional manner with all SSC officers as instructed and performing wellness checks on all officers hourly. When guards fail to respond on a wellness check that it is investigated by the Case Manager with the Account Manager * Ensure a Watch Officer is assigned to be the dispatcher and signed in and he/she is transmitting messages, wellness checks (3 per tour per guard either via two-way radio or phone except DR only DR supervisor), and conducting at least 4 officer safety messages a shift. Globalstar * Ensure Globalstar tracking system (24-7) is on the supervisor’s screen and any alerts are promptly address. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE * High school diploma or five years related experience and/or training; or equivalent combination of education and experience. * Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software. * Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. * Must maintain a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy. * Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. * Ability to solve practical problems and deal with a variety of concrete variable in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
