The Office and Travel Manager is the first point of contact for visitors and callers, responsible for creating a welcoming environment and providing administrative support to ensure efficient office operations. In this role, you’ll be the central force behind a welcoming workplace, ensuring day-to-day operations run smoothly. RESPONSIBILITIES • Manage the day-to-day operations of our two-floor NYC office to ensure a clean, comfortable, and inviting workspace., • Act as the first point of contact to observe and troubleshoot facilities-related issues., • Track and manage office-related budgets, orders, and inventory., • Greeting and assisting visitors in a professional and friendly manner., • Manage the office cleaning schedule and coordinate with the cleaning service., • Answer, screen, and route incoming phone calls promptly and courteously., • Maintain a clean and organized front desk and reception area., • Manage incoming and outgoing mail, packages, and deliveries, including monitoring both floors for deliveries and informing the appropriate employees., • Schedule and confirm appointments, meetings, and conference room bookings., • Maintain visitor logs and issue security badges as required., • Manage conference room bookings and general office scheduling., • Assist with administrative tasks such as filing, data entry, mailings and document preparation., • Assist with office engagement activities such as lunches and special events., • Monitor inventory in supply room and order office supplies to ensure adequate inventory., • Coordinate with internal departments to support daily operations., • Provide relocation support, including sourcing and reserving housing (temporary and long-term) for employees who relocate., • Manage incoming and outgoing mail, packages, and deliveries across both floors, notifying employees promptly of deliveries., • Work with building super to proactively resolve facility related issues., • Ensure compliance with workplace safety regulations and emergency procedures., • Prepare workstations for new hires., • Book travel, including flights and hotels for larger meetings and events., • Manage the Concur and Navan travel platforms, including reconciliation with finance and keeping data in the system up to date., • Assist with seating arrangements and office layout changes., • Maintain conference rooms and shared spaces such as pantry and kitchens., • Support new hire orientation for corporate and stores, including printing badges and onboarding assistance., • Assist with planning of larger corporate meetings and holiday party., • Walk both floors, daily, to asses building and employee needs., • Assist with special projects and administrative tasks as needed., • Provide back-up support for the executive assistant.Qualifications, • Detail-oriented, organized, and demonstrated ability to manage multiple priorities, • Proficiency in Microsoft Office, strong knowledge of Excel, • Proactive with a strong sense of urgency, • Experience in office management, employee experience, operations, or related roles, • A genuine passion for creating great workplace experiences, • Excellent verbal and written communication and interpersonal skills, • Available to work onsite from our NYC office, • Previous experience working with SAP Concur, Navan, or other travel system, • Experience with corporate relocation preferred, • Experience in an office support role, • Must be able to lift 25 pounds, • Must be able to lift and bend to restock pantries and supply room., • Must be able to be on your feet throughout the day, walking around two floors to ensure the space is clean and tidy and comfortable.
