The Role: Position Summary We are seeking a highly sophisticated, impeccably discreet, and numerically astute Executive Assistant to serve as the operational and administrative force multiplier for a key executive. This is a strategically critical, high-impact role requiring a demonstrated history of excellence in supporting C-level executives within the top tier of the real estate, finance, or investment industry. The ideal candidate is an expert in advanced corporate technology and possesses the sharp quantitative and organizational skills necessary to ensure seamless executive functionality. Core Responsibilities * Executive Calendar Control: Proactively maintain and strategically manage a complex, fluid daily calendar. This involves optimizing the executive's time, scheduling critical client meetings, institutional investor roadshows, and high-value internal strategy sessions, as well as coordinating across multiple time zones. * High-Touch Correspondence: Act as the primary liaison and professional extension of the executive. Draft, edit, and screen all written and verbal correspondence, including answering phones and prioritizing high-volume email traffic with top-tier clients, investors, legal counsel, and C-suite peers. * Meeting: including sitting in on meetings to take minutes, creating memos, reports and agendas as needed * Reporting & Presentation Production: Masterfully assist in the preparation of executive-level business materials, including complex property valuations, financial models (Excel), and formal presentations (PowerPoint), ensuring impeccable accuracy and professional branding. * Document and Information Management: Systematically organize, file, and manage a vast array of documents and highly confidential information, maintaining strict controls and discretion over physical and digital assets. * Project Support: Assist with special projects and initiatives by coordinating resources, managing timelines, and proactively tracking progress to ensure deadlines are met. Required Experience * Executive Tier Experience: Minimum of 5+ years of progressive, dedicated Executive Assistant experience specifically supporting C-level, Managing Partner, or Principal-level executives. * Industry Expertise: Proven high-performance experience in commercial real estate, institutional investment, private equity, or wealth/asset management. * Quantitative Acumen: Strong demonstrable comfort working with financial statements, investment metrics, and performing basic data analysis and auditing. * Elite Organizational & Time Management Skills: Possesses a systematic, algorithmic approach to workflow, demonstrating the ability to manage multiple complex tasks and deadlines simultaneously and efficiently. * Technical Savviness & Command: Mastery of the Microsoft Office Suite is non-negotiable. Required expertise includes: * Excel: Creation and manipulation of Pivot Tables, VLOOKUP, complex formulas, and data validation for financial analysis. * PowerPoint: Designing sophisticated, clean, and high-impact investor and pitch presentations. * Outlook: Advanced features for delegation, complex scheduling across time zones, and email management. * Professionalism and Discretion: Impeccable professional maturity and an unwavering commitment to maintaining absolute confidentiality regarding proprietary and client information. * Communication Mastery: Exceptional written and verbal communication skills, necessary for handling sophisticated correspondence and liaising effectively with high-level internal and external partners. * Problem-Solving & Critical Thinking: The ability to think critically, anticipate executive needs, and demonstrate adaptability and flexibility to manage changing priorities and unforeseen circumstances.
