Job Description SUMMARY Prepares, records, and submits warranty claims to the factory and/or distributor and reconciles them accordingly. ESSENTIAL DUTIES include the following. Other duties may be assigned. Processes warranty claims on a timely basis for each franchise or distributor. Processes all warranty paperwork to ensure proper documentation. Verifies criteria required by factory or distributor. Reconciles all warranty receivables with payments through the appropriate accounting schedule. Approves credits when recieved from factory. Resubmits all rejected claims promptly or receives authorization to write them off. Follows up on payment of outstanding claims. Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed. Arranges for parts to be shipped to the factory or distributor, or to be scrapped. Files and maintains all service records as required by the warrantor. Keeps informed of all factory recalls and bulletins. Assists with the cashier and telephone operator duties as needed. Assists with any clerical needs as directed by the fixed operations manager or the controller. Maintains a professional appearance and a neat work area. Performs other duties as assigned. Key Responsibilities • Set up and manage fleet accounts with OEMs including Mack, Volvo, and Paccar, ensuring proper configuration of:, • Online parts counters, • Loyalty and rewards accounts, • Support outside parts sales operations by:, • Structuring and maintaining sales data within Salesforce, • Assisting with KEA reporting and data accuracy, • Format and prepare monthly marketing flyers to support parts sales initiatives, • Support and maintain approved request procedures within Salesforce, ensuring compliance and proper documentation, • Make all necessary updates and changes within the Pulse platform, maintaining accuracy and consistency across systems, • Serve as a liaison between sales, parts, and administrative teams to ensure smooth workflow and communication, • Assist with additional administrative and reporting tasks as needed Qualifications & Skills • Previous experience in parts administration, sales support, or automotive/truck dealership operations preferred, • Working knowledge of or experience with:, • Salesforce (required or strongly preferred), • KEA, Pulse, or similar dealership management platforms (preferred), • Strong organizational skills with high attention to detail, • Ability to manage multiple systems and priorities simultaneously Gabrielli Truck Sales is an Equal Opportunity Employer.
