Job Description JOB DEFINITION: Provide administrative supervision to a dynamic team of residential staff providing housing and services to people with psychiatric disabilities. Responsible for the overall functioning of the programs and ensuring compliance with agency policies and procedures as well as applicable local, state and federal regulations. EDUCATIONAL REQUIREMENTS: Minimum of Bachelor's degree in human services, Master's Degree preferred. EXPERIENCE REQUIRED: Two years supervisory experience in a mental health related field. Knowledge of the needs of the Co-Occurring D/O population. Minimum of two years of experience in a residential program and familiarity with Office of Mental Health regulations strongly preferred. DUTIES AND RESPONSIBILITIES: • Oversee and supervise all aspects of assigned residential programs and assure that appropriate and necessary services are delivered., • Ensure all program guidelines, protocols, policies, procedures and regulations are followed., • Participate in the recruitment, hiring, training and ongoing evaluation of residential staff under the supervision of the Asst. Director/ Director., • Provide ongoing structured weekly supervision to housing supervisors and ensures that all staff are receiving adequate training and supervision., • Review and approve all time off requests, time sheets and travel expenses for supervisors within 48 hours of submission., • Meet with the program supervisor and review the staff schedule on a bi-weekly basis. Provide oversight of staffing patterns at all assigned programs., • Ensure that residents receive restorative and/or rehabilitative and tenancy support services appropriate to their needs. In a supervisor's absence, services and billing should be completed by the program manager. In addition, the billing report and accuracy should be reviewed by the program manager after the housing supervisor completes it., • Assure that residents in supported housing and/or apartment treatment programs are receiving regular visits and relevant services from staff, if applicable., • Oversight of medication monitoring procedures in all applicable programs. Program Managers are to review the medication logs/EMAR on at least a monthly basis to ensure all procedures are being followed appropriately., • Monitor occupancy rates and ensure maximum occupancy in cooperation with the management team., • Conduct intakes for potential residents in cooperation with the admissions committee., • Ensure that appropriate discharge planning activities occur for all residents., • Participate in the development, implementation and following of all program policies and procedures in conjunction with the Assistant Director and Director., • Responsible for routine (at least bi-monthly) monitoring of all client records to ensure that records are up to date and include all required documentation in compliance with applicable individual program regulations and policy manuals., • Assist housing supervisors in maintaining consistent and professional collateral contacts to ensure that all program participants are receiving coordinated and adequate services. This includes participation in case conferences when necessary., • Oversight of the sites to ensure a clean, safe and homelike environment. Ensure proper maintenance and upkeep of the site in collaboration with the facilities and management team., • Act as liaison with Property Specialist and/or landlords to ensure all physical sites are maintained and meet safety standards., • Provide direction, guidance and support to staff during business hours., • Be On-Call one week (wed-wed) after business hours and weekends on a rotating basis (approximately every 3-5 weeks) to answer any calls, texts and Microsoft Teams messages in which a supervisor may need to report pertinent information, need assistance, handle a crisis situation or incident/accident., • Ensure that all incidents/accidents/grievances are reported in a timely manner in accordance with applicable regulations., • Ensure that Quality Assurance standards are met or exceeded in cooperation with the QI Specialist and Director., • Oversight of monthly Medicaid Billing in Licensed programs and RTS service delivery in Unlicensed programs., • Oversight of program finances including resident benefits, petty cash accounts, personal needs allowance and other financial issues., • Assume the responsibilities and tasks of all staff roles in their absence. Directly complete, participate in or delegate such tasks and ensure all protocols and guidelines are being followed., • Program Managers are expected to be on-site at each program they oversee at least 3 times per week and as needed., • Identify and implement quality improvement trainings and activities as part of professional development goals, • Encourage quality improvement processes and provide consistent resources for QI and professional development, • Ability to cultivate a culture of inclusion for all employees that respects their individual strengths, views and experiences. Pay: $64,350/year What You Will Do: • Manage all aspects of a residential program, ensuring the safety, well-being, and personal growth of the individuals supported., • Handle high-pressure situations involving behavioral issues and emergencies with professionalism and care., • Collaborate and communicate with other departments, providing updates to ensure seamless delivery of services., • Proactively communicate with families to provide updates on the individuals within the residence., • Oversee the training and development of direct care staff, including Assistant Managers, to maintain a high standard of service., • Support the recruitment efforts for the house including interviewing and selection of candidates., • Create and manage Individual Service Plans (ISP) and ensuring they meet both OPWDD and agency regulations., • Oversee the implementation of Behavior Support Plans and strategies., • Oversee health and fire safety standards, ensuring adherence to policies and legal regulations., • Maintain and monitor budgets, ensuring fiscal procedures are sound and documented accurately including review and approval of billing services for the individuals., • Adhering to OPWDD and agency standards within the residential house and participating in internal and external audits. A Direct Support Professional is responsible for providing support, guidance and assistance to people with intellectual and developmental disabilities within a Residential site. Will actively promote the health, safety and well-being of the people supported by providing hands-on assistance, mentoring and teaching independent living skills and providing services as directed in their Life Plan. In this position, you will: • Respect the human dignity and uniqueness of the people you support. Recognize each person you support is valuable and advocate their value to others., • Implement and document the delivery of all Residential Habilitation services which may include but is not limited to: person supported skill development training in a variety of areas including: medical concerns, vocational concerns and recreational services., • Implementation of all person supported behavioral support plans/strategies and documentation of person supported behaviors., • Support the emotional, physical, and personal well-being of the people you support. Encourage growth and recognize the autonomy of the people you support while being attentive in reducing their risk of harm. Provide personal care assistance to ensure maximum level of supervision and to promote the highest level of health, safety and independence., • Assist people supported in performing daily living tasks, including, but not limited to, room cleaning and household chores. The staff will be required to perform housekeeping duties within the program., • Ensure that program environments meet the highest quality standards as per OPWDD guidelines and report any concerns to supervisor., • Assist people supported in food preparation; including preparing meal plans and shopping for supplies., • Adhere to Agency systems designed to promote organizational efficiencies as well as compliance with ACLD policies, procedures and regulations governing programs., • Supervise people supported within the program and community. Intensiveness of the supervision determined by the specific needs of the people supported., • Complete and review assigned reports, logs, and documentation in accordance with ACLD Corporate Compliance Policy., • Assist the people supported with the use of their personal allowance, including oversight in shopping, budgeting and managing their income., • Interact positively with families, Care Managers and other outside providers while assisting the people you support in developing and maintaining relationships. Represent ACLD in a positive manner. Assist the people supported with transportation utilizing agency vehicles. * Attend required staff meetings, supervision sessions and training programs as assigned. • Comply with all training requirements for the job that include online and in person training as applicable.
