Job Description Job Title: Payroll Assistant (Timekeeping & Payroll Support) Contract Duration- 2-month contract with potential for conversion Job Summary We are hiring a Payroll Assistant (Timekeeper) to support a large healthcare organization within the public sector. This role is responsible for maintaining accurate employee time and attendance records to ensure timely and compliant payroll processing. The ideal candidate will have strong attention to detail, payroll knowledge, and the ability to work in a fast-paced, high-volume environment. Key Responsibilities Time & Attendance Administration • Review and process employee timesheets for accuracy, completeness, and compliance, • Monitor daily time entries, missed punches, and scheduling exceptions, • Audit overtime, shift differentials, holiday pay, and premium pay eligibility, • Prepare and submit approved time records for payroll processing, • Investigate and resolve timekeeping discrepancies and errors, • Reconcile payroll adjustments related to timekeeping issues, • Track employee leave including annual, sick, comp, FMLA, and other absences, • Verify leave balances and ensure proper coding, • Coordinate with internal teams on leave of absence cases, • Update timekeeping systems based on employee status changes Required Qualifications • High School Diploma or GED required, • Minimum 2+ years of payroll/timekeeping experience, • Experience handling garnishments, taxes, and year-end payroll processes, • Strong analytical skills including retro pay calculations Preferred Qualifications • Associate’s or Bachelor’s degree in HR, Accounting, Business Administration, or related field, • Experience with Oracle, PeopleSoft, or similar HRIS/payroll systems, • Knowledge of union contracts and public sector payroll practices, • Experience supporting large employee populations Skills & Competencies • Strong attention to detail and accuracy, • Knowledge of payroll and timekeeping procedures, • Excellent organizational and time management skills, • Strong interpersonal and communication skills, • Ability to maintain strict confidentiality, • Proficiency in Microsoft Office (Excel, Word, Outlook), • Ability to work in a fast-paced, deadline-driven environment, • Ability to manage multiple systems simultaneously

SUMMARY of the FUNCTION/Role (A brief description of the nature and objective of the project) We are seeking an extremely detailed candidate capable of assisting with clerical functions such as copying, scanning, writing letters, opening, and distributing mail. Candidates must know how to use Excel and be able to create Excel spreadsheets. Candidate will be required to maintain a critical tracking log in Excel for disability applications, obtaining information from emails and other spreadsheets. The candidate will learn to ensure all disability applications are completed accurately and to proactively follow up with applicants via email and/or mail regarding missing documentation. Candidate will also assist Pension Managers in tracking and logging pension affidavits (5,000 per year), filing, logging, and scanning retirement applications. Candidate must be able to work under strict deadlines. Ideal candidates should have a bachelors degree or equivalent experience, and education is preferred, strong attention to detail, and proficiency in Excel. Familiarity with PeopleSoft or HRIS systems is a plus, but not required. This is a great opportunity for recent graduates. A customer service mentality will be helpful to success in the role. A candidate with experience in a medical office environment will be preferred. RESPONSIBILITIES • Open and distribute mail to staff, • Log and scan retirement and disability applications in proper Excel spreadsheets., • Ensure applications are completed accurately and communicate with applicants, via email, phone, and mail, if necessary, what is incomplete., • Track Pension affidavits into the Affidavit log and scan affidavits.

Key duties and responsibilities may include: • Examining invoices, claims, vouchers, statements, bills; verifying documents for accuracy by reviewing supporting data and assisting in recording and processing., • Maintaining financial records of contracts, appropriations, allocations, authorizations, and payments and assisting in maintaining ledgers of accounts and in performing reconciliations., • Reviewing and approving accounts receivable billing in the CUNYfirst PeopleSoft program (CUNYfirst) on daily basis., • Preparing and posting journal entries into CUNYfirst on a regular basis., • Performing bank account reconciliations., • Assisting in the monthly and quarterly closing process., • Providing accurate, timely, and relevant recording, reporting, and analysis of financial information., • Creating periodic reports, such as balance sheets, profit and loss statements and other financial schedules., • Assisting with auditor requests and other activities related to the year-end audit., • Aiding in the implementation of new accounting policies, standards, and guidelines., • Handling sensitive information in a confidential manner., • Complying with all company, local, state, and federal accounting and financial regulations as well as systems of internal control., • Assisting with ad hoc financial analyses, reports, and special projects, as well as performing other duties as assigned. Minimum Skills/Qualifications: • Bachelor's Degree in Accounting., • 3-5 years of professional experience., • Strong analytical, communication, and computer skills. Preferred Skills/Qualifications: • Master's Degree in Accounting or similar field., • Experience in the nonprofit higher education sector., • Experience with CUNYfirst financial modules a plus.
