Job Description Qualifications: * Bachelor’s Degree in Business Administration, Communications, Sports Management, or related field (preferred); Associate’s Degree or equivalent experience acceptable * 2+ years of experience in administrative, operations, or executive assistant roles (preferably in retail, logistics, or collectibles/e-commerce) * Experience processing and maintaining accurate financial and client records is a plus * Experience coordinating events, travel, or trade shows is strongly preferred * Familiarity with the sports cards and collectibles industry a plus (understanding of grading, consignments, or show logistics is highly valued) * Reliable transportation to and from the workplace. (required) * Computer skills including, but not limited to, typing * Organizational skills * Experience using eBay (preferred) What we are looking for in a candidate: * Exceptional attention to detail and follow-through * Dependable, self-motivated, and able to operate with minimal supervision * Discreet and trustworthy when handling confidential business or financial information * Eager to learn, proactive in improving systems, and invested in the success of the business * Ability to adapt to changing priorities and deadlines in a fast-paced environment Roles & Responsibilities: * Manage scheduling, travel arrangements, and calendar (shows, buying trips, deliveries). * Maintain and update business records: invoices, receipts, consignor balances, and client communications. * Responsible for all billing, including rent, shows, rentals, warehouse purchases, etc. * Plan and coordinate company presence at regional and national sports card shows (e.g., NSCC, Hofstra, Shriner’s, Philly). * Coordinate logistics for pickups, freight shipments, or mail-ins of purchased or consigned collections. * Maintain organized purchasing records, including invoices, receipts, and appraisal notes. * Handle customer service emails and messages (eBay, website, social media). * Track consignments, payments, and outstanding balances. * Prepare documents such as NDAs, consignment agreements, and inventory check-in sheets. * Maintains employee handbook, with all policies and protocols. * Improve company brand recognition, website traffic and marketing via social media and other outlets. * Handle pre-show logistics (transport, insurance, lodging, shipping) and post-show reporting (sales recaps, expense reconciliation). * Oversee coordination with grading companies (PSA, Beckett, JSA, etc.) and track submission statuses. * Willingness to travel occasionally for shows or buying trips. * Availability during major events or deadlines (e.g., National Sports Collectors Convention, regional shows). Summary /Objective We are seeking a highly organized and detail-oriented Operations Coordinator to support our Swim and Gym Business. This role will be pivotal in ensuring smooth day-to-day operations, driving team efficiency, and supporting execution across sales, service, logistics, and marketing initiatives. The Operations Coordinator will serve as the central point of communication between internal teams, swim teams, and external partners to deliver a seamless customer experience. Position Responsibilities and Accountabilities: Operational Support • Assist in managing day-to-day operations of the DTC Swim and Functional Fitness channels., • Coordinate team order processing, fulfillment, Inventory, PC Forecasting, and customer service inquiries., • Act as a liaison between swim teams, Gyms, sales, customer service, and internal departments., • Manage schedules, meeting agendas, and follow-up action items for the sales leads., • Prepare weekly and monthly reports on sales performance, order status, and service metrics., • Monitor inventory levels for products and communicate replenishment needs., • Identify operational bottlenecks and propose solutions to improve efficiency., • Help develop standard operating procedures (SOPs) for swim team order management., • Coordinate trunk stock to ensure immediate availability for customer distribution on-site or via FedEx/UPS. Keep accurate inventory records and conduct monthly audits to manage stock levels efficiently., • Assist in planning and execution of Team activations, fittings, and promotional events., • Support marketing initiatives including email campaigns, digital content, team communications, and events. Qualifications and Experience: • Bachelor’s degree in Business, Sports Management, Operations, or related field preferred., • 3+ years of experience in operations, customer service, or account coordination (sports, apparel, or consumer goods industry a plus)., • Strong organizational and project management skills with the ability to manage multiple priorities., • Excellent written and verbal communication skills., • Proficient in Microsoft Office Suite, Google Workspace, and CRM/order management systems., • Detail-oriented, proactive, and comfortable working in a fast-paced, team-oriented environment.
