Job Summary: The Administrative Assistant will provide administrative support to ensure efficient office operations within our accounting services company. This role involves managing client interactions, handling office supplies and equipment, overseeing data management, and assisting with various administrative tasks to support the firm's operations and ensure client satisfaction. Essential Job Functions: • Professionally greet clients and vendors; offer refreshments (coffee, water, seltzer)., • Ensure minimal client wait times; prioritize and notify partners of waiting calls., • Maintain a clean and organized front office., • Answer incoming calls, directing government calls to appropriate contacts., • Plan and order lunches/dinners during tax season; confirm partners' needs., • Replenish office supplies and maintain copier; manage weekly inventory., • Ensure daily cleanliness of the conference room and offices., • Maintain kitchen: run dishwasher, clean sink, handle garbage, and check for spoiled food., • Water plants weekly; manage mailings and postage through stamps.com., • Prepare FedEx and UPS mailings., • Maintain and organize server documents., • Scan and file new client documents; email documents securely via Sharefile., • Prepare and label client folders; create new tax year folders., • Scan and file clients' documents; process and send tax returns and authorization forms., • Follow up on signatures; update client status in Axcess., • Monitor and manage email inboxes., • Track petty cash receipts., • Assist with various administrative tasks and support staff as needed., • Excellent organizational and time management skills., • Strong verbal and written communication skills., • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), • Quick Books Online and accounting software., • Attention to detail and accuracy in data entry and record-keeping., • Strong problem-solving skills and ability to handle multiple tasks simultaneously., • Ability to maintain confidentiality of sensitive information., • High school diploma or equivalent required; associate or bachelor's degree in business administration, accounting, or related field preferred., • Previous experience in an administrative role, preferably within an accounting or financial services firm., • Familiarity with bookkeeping and accounting principles is a plus.
