Project Assistant
Ubiquity Service is looking for a project assistant in Spain. The Project Assistant will support the Project Manager in planning, coordinating, and executing automotive software testing projects. This role requires close collaboration with cross-functional teams, suppliers, and clients to ensure projects are delivered on time, within scope, and aligned with quality standards.
Key Responsibilities:
Administrative Support
Maintain and update project documentation, including schedules, task lists, and status reports.
Prepare meeting agendas, take minutes, and distribute follow-ups.
Operational Coordination
Coordinate logistics for project-related activities, such as vehicle rentals, winter tire installations, and test site bookings.
Track and ensure the availability of tools, equipment, and testing resources.
Monitor project budgets and expenses, providing regular updates to the Project Manager.
Project Execution Support
Assist in tracking progress against the project plan, identifying potential delays, and proposing solutions.
Ensure proper data collection and documentation during testing activities.
Communication & Reporting
Act as a point of contact between internal teams, clients, and stakeholders.
Prepare and distribute reports, presentations, and other communication materials.
Handle client inquiries promptly and professionally.
Process Optimization
Suggest improvements to project workflows and operational processes.
Key Qualifications:
Skills
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools (e.g., Jira, MS Project, or Asana).
Problem-solving mindset and the ability to work under tight deadlines.
Multilingual proficiency: Chinese and English are required, Spanish is a significant advantage.
