We are seeking a reliable and organised part-time administrator to join our team. The successful candidate will provide administrative support to ensure the smooth running of our operations.
This is an important role as it is often one of the first points of contact a patient will have with Functional Medicine Wimbledon (FMW). The role will sit in the administration team and will report to our Practice Manager supporting her and the rest of the team, a doctor and two dietitians.

Job description and Key Responsibilities:
  • Aid the smooth running of the clinic daily and also ensures that our patients are looked after at all stages
  • Answering the telephone with the ability to listen, empathise, taking relevant information and keeping both the patient/potential patient and the team updated
  • Maintaining patient records and filing systems
  • Help to manage the patient portal messages, FMW email inbox, including booking, moving and cancelling appointments as needed.
  • Helping patients to navigate their patient portal when needed
  • Providing general information to patients
  • General office administration
  • Ordering tests
  • Assisting with scheduling and diary management for all the team and their patients
  • Supporting the team with ad hoc tasks as required
  • The role will also require flexibility as we are a small team and support each other


Skills and Requirements:
  • Excellent communication and inter-personal skills
  • Previous administrative experience desirable
  • Good organisational skills
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Zoom video
  • Ability to work independently and as part of a team
  • Patience, discretion and strict adherence to confidentiality rules. Relevant training is provided during induction. While seeking treatment, patients or potential patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately


The successful candidate will be guided through the induction and training period to familiarise with the business and the job requirements.
