Office and Operations Manager \n \n Job Description \n \n Job Title: Office and Operations Manager \n Reports to: CEO \n Responsible for: Administrator \n Salary: £28,500 - £30,000 FTE per annum (depending on experience) \n Hours: 3 Days per week, 21 hours (Part Time, On-site role). \n Hours can be worked flexibly across 4–5 days or as full days, by \n agreement. Our work is compassionate, specialist, and deeply impactful. \n \n Role Purpose \n The Office and Operations Manager is responsible for overseeing and managing the \n charity’s day-to-day operations across both London sites. \n This includes facilities management, HR and compliance, CRM systems for volunteers \n and clients, finance administration, health & safety, and communications. \n The postholder plays a key leadership role in ensuring that the charity operates smoothly, \n safely, and in line with our values of empowerment, compassion, and respect. Working \n closely with the Counselling Services Managers and CEO. \n \n Main Duties and Responsibilities (include but are not limited to) \n \n 1. Operational Management \n • Oversee and manage the day-to-day running of both offices, ensuring inclusive \n and effective working environments. \n • Manage facilities, opening/closing procedures, supplier relationships, and \n maintenance. \n • Oversee health & safety compliance and contribute to risk management and \n business continuity planning. \n \n 1. People & HR Administration \n • Oversee and manage HR processes, including supporting recruitment and \n induction processes and leave tracking. \n • Ensure accurate and confidential personnel files, DBS checks, and safeguarding \n records are kept in line with Data Protection Policies \n \n 1. CRM & Data Systems \n • Oversee and manage the charity’s CRM database for both volunteers and clients, \n ensuring accessibility and data integrity. \n • Ensure that data is handled with care, in line with GDPR and trauma-informed \n principles. \n • Support the CEO and grants fundraisers collate information needed to produce \n and review reports for funders and Trustees, highlighting service impact. \n \n 1. Finance & Administration \n • Oversee day-to-day finance processes, including invoices, petty cash, and \n procurement. \n • Support budget monitoring, forecasting, and grant compliance with the CEO and \n Treasurer. \n • Contribute to the preparation of funder and project reports, ensuring data and \n outcomes are accurate with the CEO, Treasurer and grants fundraiser. \n \n 1. Health, Safety & Compliance \n • Act as and manage the organisation’s Health & Safety Lead across both sites. \n • Oversee all risk assessments, accessibility audits, and safety checks to ensure \n staff and clients feel secure. \n • Ensure that policies on data protection, equality, and safeguarding are inclusive \n and regularly reviewed. \n \n \n 1. Systems, IT & Asset Management \n • Oversee and manage IT systems, equipment, and software licences. \n • Maintain an asset register and plan for repairs or replacements fairly and \n efficiently. \n • Lead on projects that improve systems and processes, ensuring all staff are \n supported during change. \n \n 1. Communications & Engagement \n • Oversee and manage internal and external communications, ensuring that \n messages are inclusive and accessible. \n • Support the administrator and CEO in coordinating newsletters, website content, \n and social media updates \n \n 1. Governance, Policy & Reporting \n • Oversee operational policies and procedures, ensuring they reflect our inclusive \n and trauma-informed values. \n • Support the CEO and Trustees with operational and data reports for Board \n meetings. \n • Ensure that all operations align with the charity’s strategic plan and legal \n responsibilities. \n \n 1. General \n • Represent the charity professionally and with empathy at all times. \n • Supervise and support administrative staff, encouraging development and \n collaboration. \n • Contribute to management meetings and cross-team planning. \n \n Person Specification \n \n Qualifications & Experience \n Experience overseeing or managing \n operations, HR, facilities, or office \n management in a charity or similar \n setting. \n Experience managing CRM systems or \n databases for volunteers or clients. \n Knowledge of HR, compliance, and \n health & safety processes. \n Qualification in operations, \n HR, or management (e.g. \n ILM, CIPD Level 3+). \n \n Knowledge & Skills \n Strong IT skills (Microsoft 365, Teams, \n SharePoint, CRM). \n \n Personal Attributes \n Proactive, reliable, and accountable. \n Approachable and able to work \n collaboratively with a diverse team. \n Flexible and solutions-focused. \n Empathetic and committed to trauma-informed and anti-oppressive practice. \n Values transparency, respect, and \n learning. \n \n Requirements \n Enhanced DBS check. \n Right to work in the UK. \n Ability to travel regularly between South \n and North London sites. \n \n
