JOB TITLE: Assistant Controller DEPARTMENT: Administration REPORTS TO: Chief Financial Officer WAGE CLASS: Salary Exempt Position Summary: The Assistant Controller works directly with the Club’s Chief Financial Officer (CFO), assisting in the daily accounting operations of the Club. This is a hands-on position that requires detailed experience in all aspects of accounting, including accounts receivable and payable, general ledger and financial reporting, internal audit functions, and cash flow management. Assists CFO on all strategic matters including budget management, forecasting, internal control, capital reporting and long range planning, and data analysis and reporting. This position plays a vital role on the Business Office team in maintaining reliable financial reporting in an effective and efficient manner that ensures financial data and reports are accurate, meaningful and timely. This role combines strong accounting fundamentals with analytical analysis, proactive problem solving, and operational team partnerships. Ensures the coordination and completion of all daily, weekly, monthly, and annual procedures as outlined by the CFO., 2. Assists in month end close procedures, including the preparation of journal entries, trial balance, and underlying account reconciliations and supporting schedules., 3. Assists in the preparation of timely and accurate monthly financial reports for Management Team, Finance Committee, Board of Directors and other Committees., 4. Assists in monitoring performance to budget and identifying variances. Assists department managers with information and analysis, as necessary., 5. Monitors and maintains daily cash balances and cash flow. Prepares monthly bank reconciliations and assists in bank compliance requirements., 6. Assist in preparation of Accounting dashboards, performance metrics and flash reports to assist managers in monitoring of financial information., 7. Collaborates with other departments on ongoing and special request data analysis and reporting., 8. Performs statistical and analytical analyses to determine trends, and identify errors and opportunities., 9. Assists CFO in the review and approval of cash disbursements and approved invoices, ensuring proper coding and approvals., 10. Assists in the preparation of annual operating budgets, updated forecasts and projections., 11. Assists in the preparation of annual capital budgets, long range capital planning and monthly capital tracking., 12. Oversees fixed asset reporting and deprecation schedules; assists with the implementation of a fixed asset management system., 13. Oversees Club tournament and Committee account reporting., 14. Preparation of New Jersey sales and use tax return, business licenses and other tax filings., 15. Assist the CFO with processing Monday outing billing, reporting, and analysis on outing program., 16. Assist CFO in Club Event P&L budgets & financial analysis to support analysis on event pricing, cost control, labor efficiency., 17. Maintains, troubleshoots, and optimize the use of Jonas, automated AP, and other accounting systems in coordination with IT manager., 18. Assist in communication with members, staff, and vendors for account inquiries, questions and additional information. Maintains a professional, responsive and positive working relationship with staff, vendors, and club members., 19. Participates in the verification of month-end inventories, and other internal audit functions., 20. Participates in the monitoring, testing, and development of internal control policies and procedures., 21. Assists in the oversight, mentoring and development of Accounts Receivable, Accounts Payable, and IT. Cross-trained as backup to other accounting functions, as necessary., 22. Assist in the coordination of financial information from HR/Payroll., 23. Participates in preparation of information for external auditors, bank, insurance, and other 3rd party vendors., 24. Participates in process improvement initiatives for opportunities to modernize and improve financial data, processes, accuracy, efficiency, and workflows., 25. Assists CFO on special projects and analysis, as necessary. Qualifications and Requirements: · Bachelor’s degree in Accounting or related field required, pursuit of CPA certification a plus · 3 years of relevant progressive work experience, with experience in Club accounting preferred · Strong technical general ledger and accounting skills, knowledge of accounting principles and financial reporting, experience with month end closing procedures and account reconciliations and analysis. · Strong computer skills required. Advanced proficiency in Microsoft Office suite. Experience Jonas Encore, POS systems, Power BI preferred. · Exceptional analytical and proactive problem solving skills, with sound judgement, and attention to detail. · Ability to work collaboratively within Business Office team and other Club departments. Strong interpersonal and communication skills, written and verbal, with an approachable and engaging demeanor. · Strong organizational and time management skills to manage multiple priorities and meet deadlines; ability to work proactively and urgently in a fast-paced environment, while remaining flexible and responsive. · Ability to implement new processes and drive continuous improvement in goals of excellence and best practices. · Ability to leverage technology to streamline finance and accounting processes, improve reporting effectiveness, and support data driven decision making. · High degree of integrity, professionalism, and confidentiality. Physical and Environmental Demands: Most work is performed indoors, at a desk, in an office environment. The job requires prolonged sitting for long periods of time in front of a computer. In performing the duties and responsibilities of this job an employee will be required to see, talk and hear, with the ability for fine manipulation and keyboarding.
