Overview of the Role The Enrollment & Family Outreach (Coordinator or Manager) plays a critical role in the success and sustainability of Destine Preparatory Charter School by leading student enrollment efforts, managing student data systems, and overseeing marketing and communications to attract and retain students and families. This position ensures enrollment targets are met, student information systems are accurate and compliant, and the schools mission and brand are effectively communicated to the broader community. Is a member of the School Leadership Team. Duties & Responsibilities (illustrative, but not limited to) Enrollment & Admissions Management • Develop and execute annual student recruitment and enrollment strategies to meet school enrollment targets., • Manage the full enrollment lifecycle, from inquiry through application, acceptance, registration, and onboarding., • Conduct outreach to prospective families through events, tours, school fairs, and community engagement., • Monitor enrollment trends and report on metrics regularly to school leadership., • Ensure compliance with charter guidelines and state enrollment policies, including lotteries and waitlists., • Note: Engaging with families about Destine Preparatory Charter School involves participating in regular community outreach shifts, which typically require extended periods of being out in the community with the team. Student Information Systems (SIS) Oversight • Oversee the integrity, confidentiality, and accuracy of student records in the SIS (SchoolTool), including attendance, grades, and demographic information., • Ensure compliance with local, state, and federal data reporting requirements, including those for Special Education and English Language Learners., • Train staff on proper SIS usage and maintain data integrity across systems., • Collaborate with school personnel to maintain up-to-date records and facilitate data transfers between schools., • Coordinate student records transfers and support audits or data requests., • Coordinate with support teams to address truancy and behavioral concerns., • Maintain centralized records of attendance, tardies, suspensions, and incident reports., • Serve as the primary point of contact for SIS-related issues and troubleshooting., • Administer user access and security within the SIS., • Manage the secure distribution, tracking, and collection of state testing materials in compliance with regulations., • Ensure adherence to testing protocols, addressing any issues promptly., • Collaborate with the Operations Director on Emergency Plans and protocols. Family Outreach & Organizational Marketing • Complete communication to Parents through Parent Square and other communication channels., • Complete at times internal messaging to staff as needed., • Oversee the overall marketing plan and strategy in conjunction with the operational leadership team., • Oversee social media posts and strategy, • Partner with HR for strategies on employer branding within larger organizational messaging Destine Preparatory • Perform other duties as outlined by Coach or School Leadership., • Committed to furthering anti-racism, equity, and racial justice in all our efforts, and expect all our stakeholders to participate in this work so that we can create a future without limits for our students together., • Complies with all charter, federal, state, and local laws and regulations, including the NYS Department of Education, Department of Health, and NYS Office of Children and Family Services., • Adheres to organization policies and procedures; promotes and supports mission, vision, and values, including developing and participating in internal surveys and data collection for continuous improvement initiatives. Core Competencies • Ability to interpret and analyze complex data sets to inform decision-making., • Experience with SIS platforms (e.g., SchoolTool, PowerSchool, Rediker) and data management tools., • Strong written and verbal communication skills to collaborate with diverse stakeholders., • Meticulous in data entry and verification processes., • Capable of identifying issues and implementing effective solutions., • Adherence to FERPA and other privacy regulations in handling student information., • Detail-oriented with strong organizational skills., • Customer service mindset with ability to build positive relationships with families and community stakeholders., • Strategic thinking and data-driven decision-making., • Comfort with public speaking and community engagement., • Passion for educational equity and the mission of charter schools. Education & Experience • Bachelors degree in Education, Marketing, Business Administration, Communications, or related field (Masters preferred)., • 3+ years of experience in enrollment, admissions, recruitment, school operations, or related field (preferably in a K12 or charter school environment)., • Proficiency in student information systems and CRM tools., • Strong written and verbal communication skills., • Proven ability to manage projects, analyze data, and meet deadlines., • Understanding of student needs and the importance of accurate data in supporting academic and emotional development., • Experience working with teachers, administrators, and families to support student success., • Commitment to ensuring equitable access to educational opportunities for all students. A fingerprint supported criminal history background check is required by law for employment in New York State Schools. Prospective Destine Preparatory employees who do not hold NYS fingerprint clearance must be fingerprinted and cleared prior to employment with Destine Preparatory and Destine Preparatory is responsible for all fees associated with fingerprinting.
