Job DescriptionSalary: $60,000-$70,000 annual base salary DOE About the Role:We are seeking an organized and proactive Construction Office Managerto oversee the daily administrative operations of our busy construction company office in Upstate New York. This position supports a dynamic team of 50-100 employees, including office staff, project managers, and field personnel. The ideal candidate will ensure smooth office functioning, serve as the first point of contact for visitors and guests, and provide essential administrative support in a fast-paced construction environment. mcfa Core Values (LEADS): • Love (each other, mission, work), • Entrepreneurial (spirit of innovation), • Accountability (to ourselves, our clients, each other), • Delight (customers and teammates), • Stretch (individual and collective growth mindset) What you'll do: • Manage overall office operations, including maintaining a clean, organized, and professional work environment for 50-100 employees, • Greet and assist visitors, clients, subcontractors, vendors, and other guests upon arrival, ensuring a welcoming and professional first impression, • Coordinate and schedule meetings, including room reservations, preparation of agendas, materials, meeting minutes, and follow-up as needed, • Handle incoming calls, correspondence, emails, and inquiries, directing them to the appropriate team members, • Maintain office supplies inventory, order equipment and materials as needed, and manage vendor relationships for office services, • Oversee filing systems (physical and digital), document management, and record-keeping for administrative, project-related, and compliance documents, • Assist with basic HR-related tasks, such as onboarding new hires, maintaining employee records, and coordinating office-wide communications, • Support project teams by organizing documentation, tracking deadlines, and facilitating communication between office and field staff, • Monitor and manage office budgets for administrative expenses, process invoices, and track expenditures, • Ensure compliance with company policies, safety protocols, and relevant regulations in an office setting, • 1-3 years of experience in an office management, administrative, or similar role (experience in construction, contracting, or a related industry is highly preferred but not required), • Strong organizational and multitasking skills with keen attention to detail, • Excellent communication and interpersonal abilities, with a professional demeanor for interacting with diverse stakeholders, • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment, • Ability to thrive in a busy, deadline-driven environment typical of the construction industry, • High school diploma or equivalent required; associate's or bachelor's degree in business administration or a related field is a plus What's in it for you: Annual Paid Time Off: • Sick Leave: 5 Days (40 Hours), • Vacation: 15 Days (120 Hours), • Holidays: 11 Federal Holidays (88 Hours) observed in accordance withmcfa's Holiday Schedule "mcfa way" Bonus Program: • Following your first full quarter worked, you will qualify for a profit-share bonus that is distributed at the end of each quarter if company targets are hit., • Incoming Growth Units: 10, • Growth Unit allotment may increase over time.
