Job Description Excel Data Entry/Administrative Assistant Job Description The Administrative Assistant provides essential administrative support to the millwork and production teams in a fast-paced, production-focused environment. This role manages phone communications, organizes physical and digital records, and maintains accurate data sheets and reports in Excel. The position supports day-to-day office operations, ensuring that documentation, filing, and data entry processes run smoothly and efficiently. Responsibilities • Provide general administrative support to the millwork and production teams, helping to keep daily operations organized and on schedule., • Answer and route incoming phone calls in a professional and courteous manner., • Maintain filing systems and organize both physical and digital records for easy retrieval and accurate documentation., • Create, update, and manage data sheets and reports using Microsoft Excel, ensuring information is accurate and up to date., • Assist with document organization, tracking, and data entry to support production and office workflows., • Support day-to-day office operations as needed, including clerical tasks and general administrative duties., • Collaborate with team members in a production-focused environment to ensure information flows smoothly between the office and the production floor., • At least 1 year of office experience, preferably in an administrative support role., • Strong proficiency in Microsoft Excel, including creating, updating, and managing data sheets and reports., • Proficiency with Microsoft Office, including Word, Excel, and Outlook., • Demonstrated computer savvy and comfort working with digital files and systems., • Experience with filing and document management, including organizing physical and digital records., • Strong organizational skills and a high level of attention to detail., • Reliable, professional demeanor with the ability to support a production-focused environment., • Customer service skills, including clear and courteous phone and email communication., • Experience in an administrative role within the construction or millwork industry is preferred., • Recent high school, college, or vocational school education is acceptable when combined with strong administrative skills., • Ability to manage multiple tasks and prioritize work in a busy office setting., • Comfort working closely with production teams in a hands-on, studio and warehouse environment. This role is based in a hands-on, production-focused studio and warehouse setting that supports custom millwork and high-profile commercial projects. Standard hours are Monday through Friday, 9:00 a.m. to 5:00 p.m. You will work closely with production teams and office staff, using Microsoft Office (Word, Excel, Outlook) and other basic computer tools to manage documents and data. The environment is collaborative and fast-paced, with a strong focus on accuracy, organization, and supporting ongoing production work. Attire should be professional yet practical for an office located within a studio and warehouse setting. Job Type & Location This is a Contract to Hire position based out of Westbury, NY. Pay and Benefits The pay range for this position is $18.00 - $24.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
