Job Description PRIMARY FUNCTION/PURPOSE: The Housing Specialist is responsible for all facets of client case management as it relates to a client's efforts to secure permanent housing. The Housing Specialist will use HPD incentives for finders’ fees to brokers and owners, and develop contacts with both not-for-profit and for-profit housing developers. This role is responsible for ensuring that all clients are familiar with New York City Housing Authority (NYCHA) forms and procedures, as well as the procedures for all other housing programs offered. This role is responsible for working at our Kenilworth location in Brooklyn to enable the successful relocation of families to permanent housing. Job DescriptionClassification: Non-Exempt Reports to: Housing Stability Manager Location: Bronx, NY (Jasper & Lindenguild sites) Hourly: $27.47 - $32.96 Objective: This position will work directly with low-income and special needs tenants who are applying and living in Lantern’s supportive housing buildings. This position requires experience with the homeless and special needs population. The Housing Stability Specialist will need to be flexible in their schedules of office hours. Position Type: This is a full-time position with a regular daytime schedule, Monday-Friday, 9am-5pm (hours may vary). Lantern staff may be asked to change the work schedule and hours depending on the operational needs of the site and the agency. Leasing • Overseeing completion of files to ensure they are compliant with applicable Supportive Housing guidelines including Move-Ins, Annual Recertification, Interim Recertification, Gross Rent Changes, Terminations, and Initial Certifications., • Prepare monthly lease renewal notifications on or before 120 to 90-day lease expiration to tenants., • Ensure timely completion of annual lease documents., • Complete income calculation for leases and subsidy continuance., • Track and provide monthly reports of lease renewals and annual documents for assigned portfolio., • Attend monthly Building management meetings and provide leasing reports to building staff., • Ensuring a complete set of initial files is stored on the shared drive for every project in lease-up and completing all occupancy-related reports and other tracking spreadsheets as needed throughout the course of the lease-up., • If applicable, delegate tasks to Leasing Assistant. Rent Collection • Communicating monthly with funders and landlords, including submission of monthly and quarterly rent rolls, • Review aging summary report to identify a need for interventions., • Oversee issuance of arrears notices., • Collaborate with Program Staff to help clients reduce arrears and maintain financial stability., • Provide aging summaries to case management team and ensure follow up., • Work with Programs to identify and resolve client behavioral issues that impact safety or facility., • Review incident reports to determine if there are conduct or lease violations and to collaborate with clinical staff to resolve them., • Coordinate with property management to request non-payment proceedings., • Coordinate with property management team to initiate holdover proceedings for clients whose housing subsidy has been canceled or who are non-compliant with building rules., • Ensure compliance with policies on abandonment of units and re-rental., • Other job-related functions, as assigned. Job Description Sweet Group LLC is seeking a New York City-based Compliance Administrator. The Compliance Administrator will support document management and invoicing for our active projects. This individual will report directly to the Vice President but will work directly with accounting and finance, diversity compliance, project teams and other staff members as appropriate. The ideal candidate will demonstrate attention to detail in maintaining accurate project documentation. This role requires an individual with strong organizational and communication skills. This is a full-time, in-person position in our New York City Office located in lower Manahattan. Essential Duties and Responsibilities: • Organize, file, and maintain program documentation., • Ensure program documents are complete, accurate, and up to date., • Scan and digitize physical documents into a secure electronic system as needed., • Assist in the preparation of invoices and supporting documentation for invoices., • Maintain constant communication with subcontractors to obtain complete and compliant invoices promptly., • Maintain a filing system and ensure accessibility of any required project documents and invoice materials., • Follow up to ensure that document changes, updates, or revisions are approved, properly tracked and distributed., • Communicate with the team to request missing documents or clarification when necessary., • Maintain and update project databases, including data entry and uploads related to program documentation., • Generate and distribute progress reports and updates as required., • Support with additional document-related tasks as needed. Knowledge and Skills Required: • Two (2) years of experience as a project coordinator, administrative assistant, or similar role in the construction industry or a related industry., • Familiarity with SharePoint, Quickbase, and similar systems., • Excellent communication and interpersonal skills., • Strong verbal and written communication skills., • Knowledge of construction processes, terminology, and documentation is preferred., • Use of manual dexterity, tactile, visual, and audio acuity., • Use of repetitive motion, prolonged periods of sitting and standing, and sustained visual and mental applications and demands., • Occasional lifting (up to 15 pounds), bending, pulling, and carrying.
