Please review the job details below and then click “apply.” We're looking for someone to join our team as an Administrative Analyst who: The Administrative Analyst for the Chief Administrative Officer is responsible for performing a wide variety of complex and responsible administrative support functions related to the day-to-day operations of clinical services within Clinica Sierra Vista. This role requires strong organizational skills, communication skills, and the ability to coordinate and monitor multiple projects and activities from inception to completion. Working under limited supervision, the Administrative Analyst will receive direction from the Chief Administrative Officer Services within a framework of established policies and procedures. The role requires confidentiality, attention to detail, and the ability to manage sensitive issues with professionalism. Essential Functions: • Provide comprehensive administrative support to the Chief Administrative Officer, ensuring the smooth operation of the department’s day-to-day activities., • Coordinate and organize clinical and operational staff activities, including scheduling, planning, and prioritizing work assignments., • Assist in preparing, compiling, and reviewing reports, presentations, and other materials for meetings, including board reports and clinical performance reviews., • Manage the Chief Administrative Officer calendar, schedule appointments, coordinate meetings, and resolve scheduling conflicts., • Attend meetings, take detailed notes, and prepare meeting summaries or minutes as required., • Serve as the primary point of contact for internal and external stakeholders, handling inquiries, requests, and directing them to appropriate resources as necessary., • Manage the flow of information and communication, ensuring that important issues are brought to the attention of the Chief Administrative Officer in a timely manner., • Assist with special projects, including operational improvements, compliance initiatives, and performance tracking related to clinical services., • Handle confidential information regarding staff, patients, and operations with discretion and professionalism., • Coordinate travel arrangements, including itineraries, accommodations, and any related documentation, for the Chief Administrative Officer and clinical team members., • Organize and maintain files, records, and documentation in a systematic and confidential manner, ensuring data is easily accessible and secure., • Assist in drafting correspondence, reports, policies, and procedures, ensuring alignment with organizational standards and goals., • Identify and recommend process improvement opportunities to enhance operational efficiencies and support the clinical services' mission and objectives., • Proactively track deadlines, deliverables, and follow-up tasks to ensure smooth project management across the clinical department., • Provide additional administrative support as needed to ensure seamless daily operations. You'll be successful with the following qualifications: • Bachelor’s or equivalent required; college-level coursework in business, healthcare administration, or related fields is preferred., • Minimum of five years of administrative or office management experience, preferably in healthcare or clinical settings., • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to adapt to new software and technologies., • Strong written and verbal communication skills, including a high level of grammar, punctuation, and spelling accuracy., • Demonstrated ability to handle confidential information responsibly and with discretion., • Ability to prioritize and manage multiple tasks with accuracy and attention to detail in a fast-paced environment., • Strong organizational and project management skills, with the ability to meet deadlines and maintain a high level of productivity., • Ability to work independently, with sound judgment, and make informed decisions., • Experience with scheduling, coordinating meetings, and taking minutes., • Familiarity with the operations of FQHCs or clinical services is highly desirable.
