The ideal candidate must work with extreme attention to detail, a willingness to go above and beyond and work within an environment of discretion and confidentiality. Operational and Administrative Duties (not limited to): -Manage front desk operations, greeting visitors and handling inquiries with professionalism. -Operate multi-line phone systems, directing calls and taking messages as necessary. -Perform data entry tasks accurately and efficiently, maintaining organized records. -Assist with calendar management, scheduling appointments, and coordinating meetings. -Provide clerical support including filing. -Maintain office supplies inventory and place orders as needed to ensure smooth operations. -Perform company errands as needed -Manage correspondences through emails, texts and phone calls in a timely and accurate manner -Compliance and renewals of licenses and certificates for company -Assisting in project insurance compliance -Communicating and scheduling with clients, vendors, and contractors -Record minutes during conference calls and meetings as requested -Organize and maintain Dropbox file -Perform special projects as needed -Process new hire onboarding -Scheduling travel and accommodations -Coordinate and schedule maintenance for the facility, vehicles and real estate properties Skills & Requirements: -Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). -Excellent organizational skills with a keen attention to detail. -Effective time management skills to prioritize tasks in a fast-paced environment. -Excellent written and verbal communication skills -Hold a valid driver’s license -Creative and willingness to take on work independently
