Behind every child who receives services is a coordinated effort to make sure care is authorized, covered, and never interrupted. The Insurance Coordinator sits at the center of that effort. Position Summary We're looking for a detail-driven Insurance Coordinator to own the eligibility and authorization side of our ABA services. In this role, you make sure every client has active insurance coverage and valid authorization in place before and throughout their care --- verifying benefits, securing initial authorizations, and staying ahead of re-authorization deadlines so that no child's services lapse. You'll be the connective tissue between payers, our clinical team, and families, translating insurance requirements into clear next steps and keeping our authorization pipeline accurate and current. This is a role for someone who is organized, persistent, and detail oriented --- someone who takes real ownership of deadlines and follows through until each authorization is confirmed. Position is full-time and compensation is based on experience ranging between $25-30/hr. Key Responsibilities Eligibility & Benefits Verification • Confirm that referrals, diagnoses, and required documentation meet each payer's criteria for ABA services., • Confirm new coverage whenever a client's coverage changes. Authorization & Re-authorization Management • Prepare and submit initial authorization requests for ABA assessments and treatment, ensuring each packet is complete and payer-compliant., • Track every active authorization --- units approved, units used, and expiration dates --- and initiate re-authorizations well ahead of deadlines to prevent any lapse in services., • Coordinate with BCBAs and the clinical team to gather assessments, treatment plans, progress reports, and supporting documentation required for authorization and continued-care requests., • Monitor authorization status through submission, follow-up, and approval, escalating delays and resolving payer requests for additional information. Payer & Internal Coordination • Serve as the primary point of contact with our insurance team, • Keep clinical, intake, and billing teams informed of authorization status, upcoming expirations, and any coverage issues that could affect a client's schedule., • Communicate coverage and authorization details clearly to families when needed, in plain, supportive language. Records & Compliance • Maintain accurate, up-to-date authorization records in our systems (client management platform and payer portals), ensuring dates, units, and documentation are always current., • Track key dates and maintain a reliable tickler/reminder system so re-authorizations are never missed., • Handle all client and health information in accordance with HIPAA and organizational privacy standards. Qualifications Required • 1+ years of experience in insurance verification, prior authorizations, or a related healthcare administrative role (ABA, behavioral health, or pediatric therapy experience strongly preferred)., • Working knowledge of insurance concepts --- eligibility, benefits, authorizations, medical necessity, and payer requirements., • Strong organizational skills and exceptional attention to detail, with a proven ability to manage many deadlines at once without letting anything slip., • Clear, professional written and verbal communication., • Comfort working in insurance portals, EHR/practice-management systems, and standard office software (spreadsheets, email)., • Persistence and comfort with payer follow-up --- including phone calls and appeals of incomplete or delayed requests., • A discreet, professional approach to confidential health information (HIPAA). Preferred • Direct experience with ABA authorizations and continued-care/re-authorization workflows., • Familiarity with Medicaid and commercial payer requirements in our service areas., • Experience coordinating with BCBAs or clinical teams to assemble authorization documentation. The team will follow individuals into the community using the Pathway Home model of care to ensure that they become both linked and engaged with identified community providers and that their support network is sufficient to meet their needs. The Peer Specialist engages participants in peer-based services to identify and overcome barriers to community integration, utilizing a peer relationship to foster connection, trust, understanding and validation with community providers and supports. Responsibilities: • Responsible for reading, knowing and complying with all appropriate governing documents to include contracts, agency policies and procedures, State or Federal standards, specific program operations manuals and circulars both internal and external., • Ensures compliance with the agency’s Operations and Personnel Manuals and the Division of Developmental Disabilities Standards Manual., • Completes and submits in a competent, and timely manner all reports, forms, and documentation as required by the agency and Division of Developmental Disabilities., • Understands basic developmental disabilities and learning styles, using motivation techniques to help clients improve in areas with behavioral or medical challenges., • Must complete all CDS trainings and refreshers as directed., • Attend staff meetings, all other relevant meetings and training as directed., • Assist clients with goal outcomes established on the Individual Service Plan (ISP)., • Responsible for reading the ISP and working within the documented expectation for client development., • Provides a consistent means of relaying accurate and complete information to direct supervisors., • Implement behavior management strategies to promote positive behaviors and reduce challenging behaviors according to plans that are in place., • Provides training and supervision to clients in all aspects of community experience living., • Serves as a positive role model for clients and other staff., • Provides safe transportation in agency vehicles for clients as necessary., • Maintains confidentiality and professionalism when communicating with family members or group home staff, Support Coordinators and any outside agency personnel., • Maintains active, positive engagement with clients at all times., • Always ensures the safety and well-being of clients., • Provide direct care and support to individuals with disabilities or special needs., • Proactively accompany and support clients during medical appointments, ensuring relevant information is provided to the healthcare professional. Clearly and accurately communicate details from the appointment to the Residential Coordinator, Medical Compliance Officer, and/or designee., • Follow and demonstrate understanding of medication policy and procedures in the monitoring and administration of the client’s medications. Completes Medication Error Report when needed., • Ensures home, grounds, yard and van are maintained in clean, safe, and sanitary condition., • Ensures meals are prepared and planned based on clients’ individual diet, client input, and the planned menu for the month., • Ensures that the Recreation Calendar is carried out as per client input and as per the planned calendar completed each month., • Responsible for competing all required documentation to include but not limited to, daily logs, communication logs, and behavior reports., • Ensures line of sight for the individual(s) being supported is maintained and completes reports accordingly., • Responsible for adequately and completely cleaning the home during any shift worked., • Ensures that a client’s dignity is not compromised in any way., • Responsible for reporting all emergencies or unusual incidents to direct supervisor., • Cooperates with the licensee and Department staff in any inspection, inquiry or investigation.
