OVERVIEW Vyv, Inc., a biotechnology engineering firm located in Latham, NY, is seeking a highly organized and tactical Director of Business Operations and Administration to provide key support to the Senior Leadership team as well as Vyv’s Board of Directors and Shareholder base. This multi-disciplinary individual must be able to assist our Executive team members in matters including corporate operations, investor relations, finance, administration, regulatory and business development as well as be a champion for company culture and team morale. Board & Client Communication Liaison o Assist with the management of Board of Director meetings, reports, minutes and requests. o Assist in managing key strategic client partnerships and act as a liaison between the client, Vyv staff and Vyv executive leadership to ensure client delight and cohesive team planning. o Working closely with the CCOO and the Principal Engineer, act in an account management function for key partners that are both investors and strategic partners; including, project timelines, internal deliverables, and point of contact for the individual business units. Fundraising Administration and Support o Prepare and track all fundraising documentation, including stock certificates, agreements, etc. Ensure appropriate paperwork is filed with counsel and received by stakeholders in a timely manner. Regulatory Support o Serve as the regulatory resource for Vyv with clients. o Assist Executive leadership with management of regulatory affairs and partners with PMRA and EPA filings and issues, including obtaining company numbers, filing registrations, etc. as well as tracking compliance. o Oversee customer satisfaction through proactive problem-solving initiatives including supporting the RMA and customer support process run by quality and engineering Company and Team Document Management o Prepare, review and keep executive management informed of all insurance documentation, i.e., policy renewals, COIs, etc. o Ensure the timely flow and filing of Company documents o Prepare, track and review basic legal documentation (example NDAs) o Due Diligence Folder § Maintain Monday Board of all documents, uploads, etc. § Periodically review Staging items for updates § Ensure that collateral “owners” are updating their items on a timely basis o Marketing Folder § Maintain Monday Board of all collateral § Update presentations as needed § Work with staff to ensure that their folders are updated periodically Office Management/Operations o Oversee all day-to-day operations of the Vyv office including but not limited to supply management, IT issues, employee communications, mail management, depositing of checks. o Contribute to improving customer satisfaction and achieving quality goals by defining, implementing and managing action plans QUALIFICATIONS Education & Experience • Bachelor’s degree in Business, Operations, Finance, or related field preferred., • Minimum 5–7 years of experience in business operations, general management, or administration—ideally in a fast-paced, high-growth startup or entrepreneurial environment., • Proven success in managing administrative communications with a Board of Directors and/or executive leadership., • Comfortable wearing multiple hats and jumping in wherever needed to remove blockers and keep the business moving., • Strong operational problem-solver with a bias toward action and a systems-thinking mindset., • Ability to evaluate organizational priorities and synthesize tasks and/or communications to drive action., • Thrives in ambiguity and has the ability to design scrappy but scalable solutions., • Demonstrated success in building processes, tools, or policies to support growth and efficiency., • Excellent interpersonal and leadership skills—able to build trust quickly and influence stakeholders at all levels., • Proven success in managing administrative communications with a Board of Directors and/or executive leadership., • Exposure to fundraising, board reporting, or investor relations., • Clear and confident communicator, both verbally and in writing., • Experience in a venture-backed startup or working closely with founders and investors., • Knowledge of compliance, regulatory, risk, or legal basics., • Passion for building culture and helping teams scale sustainably.

ESSENTIAL DUTIES AND RESPONSIBILITIES: · Implement and monitor all program related operational procedures including regular accounting and an annual budget and planning process. · Build, structure and monitor all health program strategies, including local and statewide initiatives. · Develop, coordinate, and monitor all Special Olympics activities associated with health programming, including new health related initiatives. · Responsible for development of and adherence to all health program, Healthy Athletes, fitness programming and Healthy Communities related SOI and SONY minimum standards. · Act as the knowledgeable authority and program leader on matters related to all health programming. Serve as the leader for all health-related communication internally, with colleagues locally, including external stakeholders and SOI. · Engage and collaborate with athlete leaders and Health Messengers to support all health initiatives. · Responsible for grant writing, sponsorship and partnership cultivation of health programming sustainability. · Ensure the regions and the state follow all criteria, regulations, general rules and policy originating from SONY, Inc., Special Olympics International and other 501 (c) 3 governing bodies. · Inclusion, Unified Sports, and the Unified Champion School programming are present and prioritized in the foundation of our core elemental movement, found embedded in our seasonal and annual calendar, and activity. All program staff members hold responsibilities collaterally and fundamentally for inclusive mission and the Unified programming. Management: · Direct supervision and management controls of professional staff, administrative supports and key volunteers as organizational deployment permits. · Develop and oversee appropriate program related systems, including the delegation of authority and shared responsibilities to achieve organizational goals. · Provide functional organization wide leadership, mentoring and support to regional and statewide program colleagues, consistent with program standards and strategy. · Provides leadership to and maintain working relationships with health advisory council, clinical directors, volunteers, committees, sponsors, organizations and other related national, state, county and local associations, affiliates and groups. In addition to the responsibilities identified above, may be requested, or required to perform other duties and/or responsibilities, by management on a non-regular basis. We are currently seeking a full-time Project Architect in our Troy, NY office. Duties: • Run internal architectural team to include disseminating work to the most basic levels to projects totaling up to and including approximately $10M., • Coordinate with engineering disciplines to include structural, mechanical, and electrical engineering, along with the services of other outside consultants as required., • Communicate the project design to the client/owner., • Provide the design for the project, coordinate with design group, manage architectural design process, assist Principal-In-Charge and Project Designers to make sure design concept is brought through to completion, develop a design process and be responsible for implementation, updating and accomplishment., • Oversee creation of graphic presentation to assist in conveyance of design concept, either by creating the graphic personally or coordinating the completion of the graphic presentation., • Meet with client on a regular basis, facilitate the meeting, take notes, and coordinate the completion of tasks decided on at the meeting., • Direct Technical Coordinator regarding design and technical project requirements., • Review and understand which codes and regulations are applicable to the project., • Assist Principal-in-Charge and Project Manager during marketing and sales activities., • Have a familiarity with firm-client contract or agreement for the design and delivery of the project and the client’s objectives and expectations., • Review project scope, client’s RFP and SWBR’s proposal., • Communicate and meet with project team to disseminate the necessary information to complete their tasks., • Review with Project Manager regularly the budgeted fee and financial performance reports and adjust as necessary to stay within budget., • Participate in necessary meetings with the project team to help maintain project process and disseminate latest information to project team., • Review employee performance with respect to the project expectations and goals., • Has a 4-year or 5-year degree from an accredited program in Architecture; an advanced degree in this field is preferred, • NYS license to practice architecture is required along with a minimum of 5-10 years of related architectural experience. Experience in construction techniques and how buildings are put together is required., • Has previous professional experience – and is proficient in - using Autodesk Revit, AutoCAD, Sketch Up, Photoshop, and Illustrator., • Is a proficient user of Microsoft Office, especially Word, Excel, and PowerPoint, • Individual will work in a normal office setting and occasionally visit active construction sites, and must be physically able to stand, walk, stoop, kneel, crouch, reach, and keyboard.
