Job Description Location: Hudson Valley Region, NY Employment Type: Full-Time Location: Hudson Valley Region, NY Hours : 8am-5pm Pay Range $27-$30 / hr depending on experience On-site Role: 5 days in Office We are partnering with a confidential client in the Hudson Valley region to identify a highly skilled Legal Secretary with experience supporting union-related legal matters. This role is ideal for a detail-oriented professional who thrives in a fast-paced legal environment and understands the complexities of labor relations, union processes, and disciplinary proceedings. This position provides specialized administrative and legal support to attorneys representing union members—often within law enforcement—while maintaining strict confidentiality and ensuring efficient case management. Position Overview The Legal Secretary will play a critical role in supporting attorneys and union leadership by managing legal documentation, coordinating case logistics, and serving as a key liaison among stakeholders. The role requires discretion, precision, and a strong working knowledge of union grievance procedures, arbitration processes, and administrative hearings. Key Responsibilities Legal Document Preparation • Draft, format, and proofread a wide range of legal documents, including:, • Grievances and arbitration filings, • Subpoenas, motions, and affidavits, • Disciplinary hearing materials, • Legal correspondence and internal memoranda, • Ensure all documents comply with court rules, administrative agency requirements, and union protocolsCase & File Management, • Maintain and organize confidential case files related to:, • Labor disputes, • Internal disciplinary actions, • Contract interpretation matters, • Track case progress, deadlines, and filing requirements, • Manage both physical and electronic document systems with a high degree of accuracyCalendar & Scheduling Coordination, • Coordinate complex scheduling for attorneys, including:, • Arbitration hearings, • Disciplinary proceedings, • Depositions and court appearances, • Monitor critical deadlines and ensure timely filingsUnion & Stakeholder Liaison, • Serve as a primary point of contact between:, • Union attorneys, • Union members (including law enforcement personnel), • Department leadership and management, • Courts, arbitrators, and administrative agencies, • Facilitate communication while maintaining professionalism and confidentialityConfidential Records Handling, • Manage highly sensitive labor relations records, including:, • Personnel and disciplinary files, • Internal investigations, • Collective bargaining-related materials, • Ensure compliance with privacy regulations, union policies, and legal standardsUnion-Specific Support Functions, • Assist with grievance tracking and arbitration preparation, • Support attorneys during collective bargaining agreement (CBA) disputes, • Prepare materials for executive board reviews or union hearings, • Maintain awareness of union rules, bylaws, and procedural requirementsAdministrative & Office Support, • Perform general administrative duties such as:, • Answering phones and handling inquiries, • Managing incoming/outgoing mail, • Maintaining office supplies and equipment, • 2 + Years of prior experience as a Legal Secretary or Legal Administrative Assistant, • Experience supporting labor law, union matters, administrative law, or criminal law strongly preferred, • Familiarity with law enforcement or public sector union environments is a plusKnowledge & Skills, • Strong understanding of:, • Legal terminology and procedures, • Court filing requirements and deadlines, • Union grievance and arbitration processes, • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal database systemsCore Competencies, • Exceptional organizational and multitasking abilities, • Strong written and verbal communication skills, • High level of discretion and professionalism, • Ability to work under pressure and manage competing priorities Key Attributes for Success, • Demonstrated ability to handle confidential and sensitive information with integrity, • Detail-oriented with a high degree of accuracy, • Proactive and resourceful in supporting legal teams, • Comfortable working in a structured, compliance-driven environment Pay Details: $27.00 to $30.00 per hour Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
