Position Summary The Surgery Scheduler for Pain Management is responsible for coordinating and scheduling all in-house pain procedures, hospital-based surgeries, ambulatory surgery center (ASC) procedures, and same-day add-ons. This role ensures that all operational, clinical, and administrative requirements are completed prior to the patient’s procedure. The scheduler works closely with physicians, nursing teams, hospitals/ASCs, and patients to support an efficient and patient-centered workflow. Key ResponsibilitiesProcedure Scheduling & Coordination * Schedule in-house pain management procedures (e.g., injections, nerve blocks, RFAs, stim trials, fluoroscopic procedures). * Coordinate hospital and ASC surgical cases, ensuring block time, equipment, and facility requirements are met. * Manage and prioritize same-day add-ons, verifying immediate availability of providers, rooms, equipment, and authorization requirements. * Communicate with hospital and ASC scheduling teams to confirm dates, times, case details, and special equipment needs. Insurance & Authorization Management * Obtain authorizations for all scheduled procedures (in-house, hospital, ASC). * Confirm coverage, benefits, and authorization timeframes, especially for urgent and same-day procedures. * Ensure correct CPT and ICD-10 coding information is submitted for pre-certification. Documentation & Pre-Procedure Requirements * Verify necessary documents: history & physical, consents, imaging, labs, referrals, and clearances. * Ensure hospital/ASC packets are complete and submitted within required timelines. * Maintain accurate documentation of all scheduling communications and changes. Workflow Coordination & Team Support * Work closely with physicians, nurses, and MA teams to confirm procedure readiness, room availability, and required equipment. * Coordinate with facility representatives regarding equipment requests such as fluoroscopy, ultrasound, stim trial kits, C-arms, and implants. * Support physician scheduling adjustments and urgent requests throughout the day. * Monitor procedure logs for completeness, cancellations, and follow-ups. Education & Experience * High school diploma or equivalent required; associate degree preferred. * 1–2 years of medical scheduling experience required; pain management, anesthesia, or surgical scheduling strongly preferred. * Experience coordinating with hospitals and ASCs is highly desirable. * Strong understanding of Insurance, Workers Comp, and No Fault.
