Title: Vendor Relations Specialist Reports To: Director, Service Location: New Brunswick, New Jersey (Onsite) Shift: 8:30am – 5:00pm, Monday – Friday on site, Hybrid option after prohibitionary period and performance evaluation. The Vendor Relations Specialist is the primary point of contact for all vendor-related activities within Cenmed’s Asset Management department. This role ensures high-quality service delivery for medical and laboratory device servicing by building strong vendor relationships, optimizing cost and performance, and maintaining strict compliance with contractual, safety, and quality standards. The ideal candidate will have experience in medical and/or laboratory equipment servicing, or in mechanical, electrical, or other commercial service industries.Working closely with the Service Coordinator, the Vendor Relations Specialist will coordinate vendor selection, oversee service event performance, manage procurement, and track project budgets. The role requires a proactive, detail-oriented professional who can negotiate effectively, ensure compliance, and support service delivery from planning through completion.Key ResponsibilitiesVendor Coordination & Performance Management • Serve as the primary liaison for all vendor-related matters in support of service events., • Select vendors based on technical expertise, geographic coverage, responsiveness, and cost efficiency., • Track, review, and evaluate vendor performance against contractual obligations and KPIs., • Ensure vendor compliance with internal and external safety standards, escalating non-compliance to the Service Director., • Negotiate favorable terms for service cost, quality, and delivery timelines.Service Event Support, • Coordinate with the Service Coordinator to facilitate day-to-day vendor-related activities for service events., • Prepare and track vendor activities to support bids, RFIs, RFBs, and RFPs., • Manage vendor scheduling, change orders, and procurement in alignment with service event requirements., • Review and reconcile vendor time, materials, and change orders with the Service Event Manager before approval., • Monitor daily service progress and address delays, non-conformances, or quality issues.Contract Administration, • Manage purchase orders for vendors and coordinate with Accounts Payable for timely payments., • Required:, • 3+ years of vendor management, project coordination, or service delivery experience., • Background in medical or laboratory equipment servicing, mechanical, electrical, or similar service industries., • Strong negotiation and relationship management skills., • Knowledge of contract administration, procurement, and service compliance requirements., • Proficiency with CMMS or service management software., • Preferred:, • Experience with ISO 13485, CAP, NIST, or other relevant compliance frameworks., • Familiarity with medical device service event workflows and field operations., • Prior experience in a healthcare, laboratory, or regulated industry setting.Core Competencies, • Excellent communication, negotiation and interpersonal skills., • Strong analytical, problem-solving, and organizational abilities., • Ability to manage multiple vendors and projects simultaneously., • Detail-oriented with a focus on compliance and quality assurance., • Self-motivated, adaptable, and a proactive contributor in team settings.Performance Metrics (Example KPIs), • Vendor performance ratings and compliance adherence., • Service event on-time completion rate., • Budget variance and profit margin improvement., • Vendor response times and service delivery quality., • Process improvement implementation rate.
