Position: Executive Assistant to the Chairman & CEO Location: New York, NY (On-site / Hybrid) Reports To: Chairman & Chief Executive Officer Department: Executive Office We are currently partnering with a global trading and logistics firm to recruit an experienced Executive Assistant to support the Chairman and Chief Executive Officer. This is a high-level, confidential role based in New York, requiring a poised, proactive, and highly organized professional who is comfortable operating in a fast-paced, international environment. About the Company The organization is a global leader in the sourcing, trading, and transportation of raw materials, base metals, and industrial commodities — including products essential to steel manufacturing, battery technology, and nuclear energy. Their regional hub in New York facilitates global supply chains by connecting producers with industrial end-users across international markets. The Executive Office operates with a high standard of professionalism, responsiveness, and discretion. Position Overview The Executive Assistant will act as a strategic partner to the Chairman and CEO, providing comprehensive administrative support and ensuring the smooth operation of executive-level activities. This individual will be responsible for managing complex scheduling needs, coordinating international travel, preparing executive communications, and serving as a key liaison to internal and external stakeholders. Key Responsibilities • Manage a dynamic and high-volume calendar, prioritizing across global time zones, • Coordinate international and domestic travel, including detailed itineraries, visa requirements, and logistics, • Prepare confidential correspondence, briefings, presentations, and reports, • Ensure the CEO is fully prepared for meetings with relevant materials and background documents, • Act as the point of contact with board members, clients, and senior executives, • Screen and prioritize incoming communications; track follow-ups and deadlines, • Work collaboratively with administrative and leadership teams across global offices, • Support logistics for board meetings, investor sessions, and off-site leadership events, • Track expenses, process reimbursements, and maintain accurate administrative records, • Bachelor’s degree preferred or equivalent professional experience, • Minimum 5 years of experience supporting C-Level executives, within financial services, trading, or professional services., • Demonstrated ability to work across multiple international time zones and cultures, • Exceptional written and verbal communication skills, • High level of proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with Concur, SharePoint, or DocuSign is an advantage, • Discreet, reliable, and able to handle confidential information with the highest level of integrity, • Strong organizational skills and attention to detail, with the ability to manage shifting priorities, • A professional, polished demeanor and the ability to remain composed under pressure To express interest or request additional details, please contact me directly.
