Job DescriptionJob Title: Administrative Assistant / Executive Assistant II Job Description This Administrative Assistant / Executive Assistant II role provides high-level administrative support to ensure the smooth and efficient operation of the office. The position manages information and communication flows, handles a wide range of clerical and organizational tasks, and supports day-to-day business activities by preparing documents, maintaining records, and responding to routine inquiries. Responsibilities • Perform general office duties, including ordering and maintaining office supplies to support daily operations., • Maintain records management systems to ensure documents are organized, accurate, and easily accessible., • Perform basic bookkeeping tasks as needed to support financial tracking and reporting., • Prepare invoices, reports, memos, letters, financial statements, and other business documents with a high level of accuracy., • File and retrieve corporate documents, records, and reports in an organized and timely manner., • Open, sort, and distribute incoming correspondence, including mail, faxes, and emails., • Prepare clear and professional responses to correspondence containing routine inquiries., • Act as an information and communication point for the office, ensuring messages and information reach the appropriate parties., • Handle information requests promptly while maintaining confidentiality and professionalism., • Support general office administration by assisting with clerical tasks and coordinating daily office activities as needed.Essential Skills, • 2–5 years of experience in an administrative assistant, executive assistant, or similar office support role., • Strong verbal and written communication skills to prepare professional correspondence and interact effectively with others., • Proven ability to multitask and manage time effectively in a busy office environment., • Demonstrated customer service skills and strong interpersonal skills., • Ability to work independently with minimal supervision while managing one’s time and priorities effectively., • Ability to keep information organized, accurate, and confidential., • Proficiency with computer applications, including Microsoft Word, Excel, and PowerPoint., • Experience with general administrative and clerical tasks, including filing, document preparation, and records management., • Familiarity with ordering and managing office supplies and supporting office administration.Additional Skills & Qualifications, • High school diploma or GED required., • Experience with the full Microsoft Office Suite is beneficial., • Comfort working with basic bookkeeping tasks and financial documents such as invoices and financial statements., • Attention to detail and a high level of accuracy in document preparation and recordkeeping., • Strong organizational skills and the ability to maintain structured records management systems.Work Environment This role operates in a professional office environment that relies on computer-based tools and standard office equipment. The position involves regular use of Microsoft Word, Excel, PowerPoint, email, and other office applications to prepare documents, manage records, and handle correspondence. Work typically follows standard business hours, with a focus on supporting daily office operations, managing information flow, and maintaining an organized and efficient workplace. Job Type & Location This is a Contract position based out of Edison, NJ. Pay and Benefits The pay range for this position is $28.00 - $31.00/hr.
