Job Description The Director of Special Projects (DoSP) works closely with the Executive Management Team to oversee both internal and external organizational affairs. This is a high-impact, cross-functional role with visibility into every area of operations — including fundraising, program development and evaluation, marketing, finance, community outreach, government relations, and procurement — with a particular emphasis on human resources, facility management, and data and technology management, including day-to-day administration and development of the organization's club management platform, MyClubHub. Human resources responsibilities includ assisting with • Playing a hands-on role in supporting the full employee lifecycle and maintaining a healthy, compliant workplace culture., • Support recruitment, onboarding, and offboarding processes, including maintenance of personnel files and HR records in compliance with applicable laws, • Assist in administering employee benefits, leave policies, and performance review processes, • Help develop and enforce HR policies, employee handbooks, and workplace conduct standards, • Support staff training and professional development initiatives, including compliance and mandatory training programs, • Serve as a resource for employee relations matters, helping to mediate concerns and escalate issues appropriately Facilities management responsibilities include assisting with • The DoSP will serve as a point of contact for facilities operations, ensuring safe, functional, and well-maintained spaces for staff, participants, and the community., • Overseeing day-to-day facility operations, including scheduling, maintenance requests, vendor coordination, and space utilization, • Managing lease agreements, service contracts, and relationships with building management, contractors, and service providers, • Ensure facilities meet health, safety, and ADA compliance standards; coordinate inspections and corrective actions as needed, • Assist with monitoring and managing facilities budgets, procurement of supplies and equipment, and inventory tracking, • Support emergency preparedness planning and respond to facility-related issues in a timely manner Data, technology & MyClubHub platform • The DoSP will serve as the internal administrator and lead developer of MyClubHub, the organization's club management software, and will drive efforts to maximize its use across all departments., • Lead the implementation, configuration, and ongoing development of MyClubHub to align with organizational workflows, program needs, and reporting requirements, • Manage user access, permissions, and system settings; serve as the primary liaison with MyClubHub support and development teams, • Train staff on platform features and best practices; develop internal documentation, guides, and standard operating procedures for system use, • Use MyClubHub data to generate reports, track program participation, and support leadership in data-driven decision-making, • Identify opportunities to improve data integrity, streamline intake and enrollment processes, and integrate MyClubHub with other organizational tools such as Salesforce, • Stay current on platform updates and new features; proactively recommend enhancements that support organizational growth and program outcomes What you'll bring • Excellent oral and written communication skills and strong analytical, research, and problem-solving abilities, • Genuine interest in issues affecting youth development, education, poverty, community organizing, and equity, • A passion for serving low-income African-American and Latino youth and families who are often disconnected from resources that support long-term success, • Self-motivated with a drive to improve outcomes for program participants and their families, • Comfort engaging with a wide range of stakeholders — residents, business leaders, politicians, community activists, and others who are part of our community, • Flexibility and resilience — willing to work occasional long or irregular hours and do whatever it takes to support our youth, families, and programs Qualifications & requirements • Bachelor's degree from an accredited institution, or 3+ years of college education, • 2+ years of Salesforce experience; prior experience with club management software or similar platforms a plus, • Comfort with database management, digital recordkeeping, and learning new technology platforms quickly, • Ability to manage multiple tasks simultaneously with limited direct supervision, • Desire to work in a non-profit, community-based organization serving a high-needs population, • Commitment to excellence and a willingness to learn from an experienced, knowledgeable team, • Valid driver's license required.
