This is a contract position; we are looking for candidates to work for approximately twelve (12) months, with a strong possibility of an extension or conversion at the end of the term. Manager, Experiential Production, East Coast Scope The Manager of Experiential Production collaborates with a team of cross-functional individuals to meet our revenue goals through the delivery of high-quality entertainment experiences for our consumers at multiple assets. This person is responsible for all aspects of the production and the logistics of event delivery for multiple assets and serves as a key resource for brands, their agencies and Westfield internal departments in realizing and delivering their activations within our spaces. As a Manager of Experiential Production, you will be an essential resource of Westfield’s Experiential Team, assisting with the execution of over 50+ events each year including, Brand Activations, Seasonal Celebrations, Pop-Ups and more. Responsibilities, requirements, and preferred areas of experience include, but are not limited to, the following: Event Production & Management • Supports overall sales goals for the events program at Westfield World Trade Center and several other East Coast assets by delivering, upselling and managing production and logistics for all events., • Tracks and manages the progress of each event and the documentation involved, including Port Authority applications, production timelines, production proposals, contracts, insurance, site logistics, Salesforce updates, legal and risk reviews., • Attends site visits, walkthroughs, and production meetings with clients, agencies, and partners., • Attends weekly team calls to share updates about upcoming events., • Serves as the primary on‑site liaison between venue operations, clients, vendors, and contractors., • Advises center management on all event logistics to ensure clear communication and alignment., • Anticipates and resolves challenges during onsite execution, ensuring events meet safety and quality standards. Client & Stakeholder Management • Maintains strong relationships with brands, agencies, partners, stakeholders and internal teams; participates in debriefs and gathers client feedback., • Interfaces with Directors of Experiential Sales & Production, the Port Authority and center management to maintain accurate venue calendars and programming alignment., • Supports evaluation of initial client enquiries with respect to feasibility and desirability., • Develops solutions and ideas for clients to perform successfully in our spaces., • Ensures timely communication, professionalism, and adherence to brand values in all client interactions. Budgeting & Financial Management • Manages production revenue generation, event budgets, and maintains margins set by management., • Demonstrated financial acumen to assist in the preparation of annual budgets, reviewing monthly profit & loss statements, assisting with monthly collections of accounts receivables as needed., • Tracks expenses, processes invoices, assists with reconciliation of post‑event financials, and ensures zero outstanding debt., • Prepares and presents budget scenarios and supports financial forecasting., • Ensures expenditures align with best‑value practices. Operational & Administrative Duties • Communicate to all clients and ensure compliance with Porth Authority, Health & Safety, Security, Risk Management, and overall World Trade Center regulatory requirements and protocols., • Manages the documentation pipeline, including contracts, Port Authority applications, insurance, labor call sheets, and site permits as needed., • Coordinates delivery logistics for load-ins and load-outs., • Manages photography, videography and supports with the creation of formal presentations, recaps, sales decks as needed., • Utilizes Salesforce and other internal systems to track pipeline activity and event progress., • Manage and organize the online storage of event documentation., • Coordinates logistics for client and internal team calls/meetings, site tours, and travel as needed. Market & Industry Awareness • Maintains extensive knowledge of current market conditions, trends, and competitor activity., • Identifies opportunities to enhance event programming through cultural insights and industry learnings., • Contributes to the development of innovative event concepts and ideas to elevate venue positioning. What We Are Looking For • Office hours at Westfield World Trade Center required 4 days a week with 1 WFH day, pending event, meeting and tour schedules., • Ability to work nights and weekends as needed based on event schedules., • Some travel is required, to visit other properties, assist with other property’s events and to attend meetings and planning sessions., • 4–6+ years of event production experience., • Experience of working with authorities and government agencies is a plus., • Excellent event and client management skills., • Strong production, operations, and logistical skills with the ability to manage multiple projects simultaneously., • Strong project management skills with proven track record of coordinating with multiple stakeholders, including flagging and managing issues during the process., • Excellent communication and interpersonal skills, both written and verbal., • Strong computer and systems knowledge (familiarity with Salesforce and Basware a plus)., • Bachelor’s degree or equivalent experience.
