Job Description St. Anne Institute Job Description I. TITLE: Quality Management Specialist – Education II. SUPERVISOR: Director – Education III. HOURS PER WEEK: 40 IV. QUALIFICATIONS: High School Diploma or equivalency required V. FUNCTIONS: Work collaboratively with the Educational and Quality Management Departments to manage the day-to-day operations of the school office and ensure the programs are maintaining all rules and regulations set forth by the State Education Department as well as other local, state and federal regulatory bodies. VI. RESPONSIBILITIES: • Update Education Department SharePoint reflecting absences, circles and various appointments for the school day by 8:30 am daily., • Answer phone calls for Education department and forward to appropriate agency staff., • Make attendances telephone calls each period, notify teachers of student absences and locate students in coordination with hall staff and Dean of Students., • Respond to all phone requests and facilitate appointments with:, • The medical clinic, i.e. pediatrician, OB/GYN, dentist, Bender Lab, optometrist and outside medical appointments., • Therapists and case managers, i.e. therapy appointments, family sessions, treatment meetings as well as SPR meetings., • Type correspondence for the Superintendent, Director of Education/Principal/CSE Chairperson and the Guidance Counselor when requested/required., • Mail quarterly report cards to parents/guardian and placing agencies., • Contact parents/guardians via phone regarding Day Treatment absences and communicate these absences to home districts via email daily, • Distribute quarterly student satisfaction surveys, compile results and forward the final report to the Chief Program Officer, Superintendent, Director of Quality Management/Compliance Officer and Director of Education, • Operate intercom system and make announcements when requested., • Assist in maintaining schedules and client information in Alma including schedules, attendance, treatment teams, etc., • Supervise the operation and maintenance of copy machines, and order supplies when needed, • Prepare treatment/SPR meetings and CSE reports for education staff:, • Send and distribute confidential reports to teachers and type final reports., • Maintain files, student information cards and distribute to appropriate education staff, • Maintain all student files, both electronic and hard copy, including but not limited to enrollment, attendance records, testing results, student transcripts for all students., • Close student files upon discharge and send records/transcripts to home school districts., • As a member of the Quality Management team, assist with the preparation and execution of all audits and incident reporting., • Secure all doors and machines on the school office floor prior to leaving at the end of the day., • Abide by the NYS Justice Center and the SAI Codes of Conduct/Ethics., • Complete additional duties as requested.
