Job Description Job Title: CRM and Operations Specialist Reports To: Associate Director of Admission Status: Full-Time, Exempt Modality: In-person (On-Campus) Summary/objective Reporting to the Associate Director of Admissions, the CRM and Operations Specialist supports the Admissions office with the execution, auditing, planning, process review, and the evaluation of all aspects related to initiating and completing applications for the Admissions Office. This position will also assist with the maintenance, monitoring, and improvement of the CRM (Slate) functions. This is an on-campus position. Essential functions • Serve as an administrator for the Slate CRM, managing system configuration, maintenance, optimization, and ongoing enhancements in support of undergraduate admissions operations., • Design, build, and maintain Slate functionality including applications, forms, portals, reader workflows, communication plans, configurable joins, datasets, queries, reports, rules, permissions, and automations., • Lead the continuous assessment and optimization of Slate functionality by researching new features, best practices, and system enhancements to maximize platform capabilities., • Develop and maintain data integrations between Slate, the Student Information System (Jenzabar), Axiom, testing vendors, financial aid systems, and other third-party applications while ensuring data integrity and accuracy., • Monitor, troubleshoot, and resolve complex system, integration, and data issues across Slate and related enterprise systems., • Establish and maintain data governance standards through regular auditing, validation, duplicate management, and reconciliation of admissions and enrollment data., • Manage the import and validation of prospect, applicant, and testing data including purchased search names, SAT/ACT, AP, Common App, and other external data sources., • Build and maintain advanced reporting and dashboards that support operational decision-making, enrollment management, and institutional reporting., • Collaborate with Information Technology, Financial Aid, Registrar, and Enrollment leadership on system enhancements, integrations, and strategic initiatives., • Oversee applicant-facing Slate functionality, including the applicant portal, ensuring an intuitive and effective user experience while resolving escalated technical issues., • Manage and optimize document management processes, application review workflows, and electronic records to ensure efficient processing and compliance., • Configure and maintain financial aid data imports and related applicant communications within Slate., • Develop documentation, standard operating procedures, and training materials for Slate users across the admissions team., • Provide functional training, and ongoing support for admissions staff, promoting effective use of Slate and adoption of best practices., • Recommend and implement process improvements through automation, workflow redesign, and emerging technologies., • Participate in recruitment and yield activities (e.g. open houses, information sessions, admitted student programs) as needed., • Perform other duties as assigned. Skills/Abilities • Strong analytical and problem-solving skills with high attention to detail., • Ability to manage multiple priorities and meet deadlines in a fast-paced environment., • Strong written, verbal, and interpersonal communication skills., • Ability to train team members on CRM functions and proper use., • Ability to collaborate effectively across departments and functional areas., • Proficiency with Microsoft Excel and Word., • Accurate and efficient data input skills with an eye for detail., • Comfortable learning and adapting to new technologies and software., • Experience working in a highly collaborative diverse environment with the ability to maintain confidentiality of data., • Participate in on campus recruitment and yield events, including but not limited to Open Houses, Information Sessions, and Accepted Student Days., • Maintain a broad knowledge base about the College, its programs and opportunities. Maintain broad knowledge base about general trends in secondary and higher education. Supervisory responsibilities This position has no supervisory responsibilities or direct reports. Work environment • Office Setting: Cubicles, open desks, or private offices with access to necessary tools like computers, phones, and office supplies., • Remote Setting: Working from home or another location with access to virtual communication platforms and necessary technology. Physical demands • Sitting: Ability to remain in a stationary position and operate a computer for extended periods., • Typing/Computer Use: Frequent use of a computer keyboard and mouse., • Vision Requirements: Ability to read and view screens for extended periods., • Speaking/Hearing: Regular communication with coworkers and clients in person, over the phone, or via video calls., • Lifting/Carrying: Occasionally lifting or moving items/boxes up to 40 pounds., • Reaching/Bending: Periodic reaching for or bending to access files, supplies, or equipment., • Mobility: Walking short distances within the office or to meeting rooms. Schedule requirement • Occasional evening and weekend work to support recruitment events. Required education and experience • Bachelor’s degree., • Minimum of 2 years of experience in Higher education, admissions, or Slate/data operations., • Experience working in a Slate or admissions/enrollment technology platform., • Demonstrated experience managing data, processes, and systems in a complex, collaborative environment.
