The Administrative Assistant I provides administrative support services for one or more individuals, a department or a division. Assists supervisor in routine personnel, budget and other operational details. This individual typically reports to a manager, director or division head. 1. Operating through a "whole-person" lens, the Coach manages a dedicated caseload of 15–20 participants, providing unwavering support from age 14 through 21. What You’ll Do Given the nature of their work, Coaches should also be able to be reached outside of a 9-5 office schedule. Build relationships with up to 15- 20 young people. Provide ongoing social/emotional support. Work 1:1 with young people to conduct an interest/strength inventory in order to develop individualized academic and career development goals, implementation of measurable steps to effectively assist young people in reaching their desired goals. Connect young people to quality schools, programs, resources, and opportunities in line with their goals. Help young people persist in these settings, navigate any challenges that arise, celebrate successes, and plan/prepare for the next step on their journey. Collaborate with Case Planners, Tutors, Specialists, and foster/birth parents, as needed, to help youth achieve their goals and ensure their overall well-being. Connect young people to peer group supports and build positive relationships. Ensure young people who are aging out can access and maintain stable, affordable housing and build independent living skills. Re-engage disconnected youth and help them re-enroll in an academic setting. Assess the fit between the young person and their current academic setting and help them transfer into a better-fit high school or high school equivalency (HSE) program, if needed. Visit the young person’s school/program and build relationships with school staff, review transcripts and academic data, provide educational advocacy, and discuss progress towards graduation/HSE obtainment. Ensure young people are attending school and have the supports and resources they need to be successful, such as tutoring, individualized educational plans (IEPs), 504 Plans, or other special accommodations. Expose students to post-secondary pathways, such as college and/or accredited vocational programs, starting in the 9th grade (or as early as possible). Assist students with post-secondary planning, along with the guidance counselors and/or College Specialists and Career Development Specialists. Connect the student to the College Specialist to apply to colleges, opportunity programs, and all forms of financial aid, funding, and scholarships. Develop Operational Protocols., • Manage the facilities support staff – this includes outsourced providers., • Maintain all Life Safety systems, schedule annual inspections, coordinate with inspectors and personnel from the Authority having Jurisdiction., • Develop and manage annual operating and capital expense budgets., • Communicate with Senior Leadership Team on status of all issues regarding facilities., • Ensure all site management and operations procedures are compliant with museum policy, as well as City, State and Federal safety and environmental laws, codes, standards and regulations., • Solicit, manage and supervise third-party vendor contracted services as required, including periodic bidding and insurance updates. Monitor performance and recommend payment per scope of work and contractual agreements., • Conduct daily walkthroughs of the facility to identify maintenance needs and proactively address issues., • Perform hands-on maintenance and minor repairs, including light carpentry, exhibit repair, painting, and basic mechanical or electrical work., • Maintain a museum-quality environment, including monitoring temperature and humidity levels to support collections and exhibitions., • Maintains records and reports regarding building engineering, major building systems, ADA/TAS, OSHA, capital expenditures and construction/renovation projects., • Support Special Events, • Other duties as assignedEducation and Experience:, • Minimum five years’ related building maintenance experience., • Bachelor’s degree in engineering, architecture, facilities management, construction management, or a related field. A relevant professional credential (e.g., Certified Facility Manager) may be considered in lieu of a degree., • Certification in related fields: Carpentry, HVAC, Plumbing, Electrical, etc.Knowledge, Skills and Abilities:, • Working knowledge and experience with primary building operations and systems. (mechanical, electrical, plumbing, architectural, HVAC, life safety and others), • Ability to plan and manage tasks within budget and time constraints., • Ability to collaborate with various Museum team members., • Ability to manage budgets and contracts., • Strong problem-solving and troubleshooting skills., • Ability to work independently, identify priorities, and take initiative., • Good communication and organizational skills., • Willingness and ability to learn new systems and tools as needed., • Ability to work flexible schedules as needed including nights, weekends and holidays.Preferred:, • Experience working in a museum, cultural institution, school, or nonprofit environment., • Familiarity with maintaining museum-quality environmental conditions., • Experience supervising cleaning staff or contractors.Physical & Work Requirements, • Demonstrate the physical ability to lift and safely transport equipment and materials that are used in the maintenance and operation of the museum. This includes handling items that are essential for the setting up of exhibitions., • Ability to stand, walk, bend, climb ladders, and use tools throughout the facility., • Combination of active, physical work and administrative recordkeeping., • Available to work flexible schedules as needed including nights, weekends, and holidays onsite., • Will be required to respond promptly to emergencies that occur during normal business hours.
